About RGA: Founded in 1988, RGA is a woman-owned small business headquartered in NJ with offices in Philadelphia, Nashville, and Wake Forest. We provide cultural resources management services and historic preservation consulting. Our team is comprised of Archaeologists, Architectural Historians, Historians, and Conservators.

RGA is currently looking for an administrator for a minimum of 20 hours a week and up to 32 hours a week. For the right candidate, 40 hours per week may be available. We are flexible with working hours; however, working hours should fall between the hours of 8am – 6pm. This is an hourly position. 30 hours per week is considered full time and is eligible for company benefits including paid holiday, PTO, medical/dental/vision insurance.

Responsibilities:

Data Entry and Record Keeping: Maintain accurate and up-to-date records, databases, and filing systems. Handle confidential information with utmost confidentiality.

Calendar and Schedule Management: Coordinate and manage schedules for executives, arrange appointments, and ensure timely reminders.

Meeting Coordination: Schedule and coordinate meetings, prepare materials, and assist in the organization of conferences or events.

Travel Arrangements: Arrange travel itineraries, accommodations, and transportation for staff as needed.

Assist in Project Management: Support various projects by coordinating tasks, managing deadlines, and collaborating with team members. Assist in initial project set up in project management systems.

Communication: Interact with clients, vendors, and partners in a courteous and professional manner. Assist in maintaining positive relationships. Assist with internal and external communication and manage information flow. Handle sensitive and complex issues professionally and objectively and maintain confidentiality at all times.

Assist with Special Projects: Collaborate with team members on special assignments and projects as required. Including preparing presentation text, overheads, and electronic presentations.

Qualifications:

  • Proven experience as an Administrative Assistant or in a similar role.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and Adobe
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Attention to detail and accuracy in work.
  • Flexibility and adaptability to changing priorities.
  • Knowledge of office management systems and procedures.
  • Exceptional communication and interpersonal skills, with the ability to work well with all levels of the organization.
  • Excellent time management skills, with the ability to prioritize work and meet deadlines.
  • Strong decision-making ability and attention to detail.
