A DAY IN THE LIFE OF AN ADMINISTRATIVE ASSISTANT:
The Administrative Assistant will report to the Chief Operating Officer and will assist the following departments within the council as needed: Program, Membership, Development and Marketing. The Administrative Assistant will need to adapt quickly to changing work priorities and will enjoy variety in their work activities daily.
Some of the essential functions of the job include:
Provide administrative support to include management of schedules and scheduling appointments for both internal and external sources.
Create correspondence (memos, forms, procedures, and spreadsheets)
Perform data entry and data analysis duties to support membership and fundraising
Prepare agendas, notices, minutes, and resolutions for council meetings.
Maintain electronic and paper record keeping and filing systems.
Arrange travel plans, itineraries, correspondence, and documentation for travel-related
Prepare expense reports, travel reimbursement, and reconcile credit card accounts.
Maintain confidentiality of all corporate, personnel, and research matters.
Provide administrative support to include telephone coverage, photocopy projects, mail handling, supplies control, and necessary communications internally and externally.
Perform special projects and provide backup support for other staff members/departments.
Models’ behavior consistent with the Mission and purpose of Girl Scouting.
Performs other duties as required or assigned.
REQUIREMENTS FOR ADMINISTRATIVE ASSISTANT
Minimum two years in an executive or professional administrative position.
Demonstrated experience in word processing, document control, preparation of spreadsheets, and creation of presentation materials.
Strong data entry and keyboarding skills with demonstrated ability to handle high- volume tasks with accuracy.
Highly proficient in Microsoft office, databases, internet applications, and internet
Experience with Raisers Edge or other fundraising platforms a plus.
Detail oriented with strong organizational skills, able to gather and analyze information skillfully, and maintain
Exceptional written communication skills with the ability to edit work for spelling and grammar, present numerical data effectively, and able to read and interpret written
Excellent interpersonal and communication skills with ability to thrive in a team
High school diploma or equivalent. Associate degree preferred.
Ability to become a certified GSU driver.
Ability to work as a full-time, non-exempt staff member, which may include occasional evenings and weekends.
REQUIREMENTS FOR ALL POSITIONS @ GSU:
Ability to pass a criminal background check, including sex-offender registries and driving
Must complete Youth Protection Training within first week of employment/recertify every 3 years.

PHYSICAL DEMANDS
Ability to sit at a workstation for up to 2 hours at a time.
