This position is currently eligible to telework. This position is required to work in the office at least 1-2 days a week. This may change based on business needs.

Your opportunity at a glance

The WSLCB Information Technology Services Division is announcing an exciting opportunity for an Administrative Assistant 5 position in Olympia, WA. This position reports to the Chief Information Officer (CIO) in the WSLCB’s Information Technology Services Division. The position serves and complements the WSLCB’s mission and goals by providing executive level support for IT strategic planning, risk assessment, sustainability planning, policy development, budget development, vendor management and customer communication efforts. In this role, you will serve as the IT records coordinator, and will be independently responsible for the division’s compliance with state and agency policies, rules and laws. In addition, you will independently lead division special projects that directly or indirectly contribute to the achievement of the WSLCB and ITSD Mission. You will also manage the CIO’s schedule, division administrative operations, and relationships with internal customers.

Duties

Some of the duties you will perform are:

  • Maintain regular, productive communication with the division director, manage division director’s schedule, ensuring that meetings are prioritized in accordance with division objectives and that there is adequate time for the director to complete assigned work and meet regularly with staff.
  • Track division and director’s assignments, deliverables and due dates, tracking work activities to ensure timely delivery and completion.
  • Prepare correspondence, documents, forms, timesheets, expense reports, and other forms/documents.
  • Assist in the coordination and preparation of Results Washington/Results LCB. Conduct research and collect needed data, prepare reports and slides, present when needed.
  • Represent the division in matters pertaining to administrative operations and policies. Represent the division on the Agency Lead Support Team.
  • Establish, document and communicate administrative procedures; interpret and apply administrative policies to the work of the division; coordinate division policy and procedure development and review process.
  • Collect and submit division supply order, track supplies, process for payment; coordinate travel and motor pool use for division staff.
  • Maintain the confidentiality of all performance management and corrective actions for which you provide support.
  • Track the timely completion of division Position Description Forms (PDFs), Performance Development Plans (PDPs) and Evaluations.
  • Manage division employee onboarding, transfer and off-payroll processes in accordance with division and agency standards. Proactively maintain the division’s organizational chart.
  • Review the charge reports for accuracy, ensuring that management team members review and are aware of payroll charges.
  • Track and monitor all training requests, ensure compliance with core training requirements and provide reports regarding the status.
  • Serve as division’s LMS point of contact; liaise with the WSLCB Training Coordinator to investigate and resolve training record discrepancies.
  • Participate in agency and division strategic planning process.
  • Serve as division subject matter expert on records retention and destruction.

 

 

Qualifications

Required Qualifications:

Experience for required qualifications can be gained through various combinations of formal professional employment and educational experience. See below for how you may qualify.

Option 1: 

Seven (7) years of administrative experience or supervisory experience (in a clerical or office setting)

AND 

Demonstrable experience or knowledge in:

  • Proficient in Microsoft Office suite including Outlook, Word, Excel and PowerPoint.
  • Working level knowledge of State government organization and administrative procedures.
  • Working level knowledge of office methods and procedures.
  • Working level knowledge of State and agency functional and personnel policies.
  • Working level knowledge of research standards and investigative skills.
  • Working level knowledge of records retention policies and standards.
  • Working level knowledge of project management principles and ability to apply them to reach measured and expected outcomes.
  • Working level knowledge of Microsoft Visio.
  • Working level knowledge of Microsoft SharePoint.

Option 2: 

An Associate’s degree in business administration, public administration or closely allied field

AND

Five (5) years of professional experience as listed above.

Option 3: 

A Bachelor’s degree in business administration, public administration or closely allied field

AND

Three (3) years of professional experience as listed above.

Option 4: 

A Master’s degree or above in business administration, public administration or closely allied field

AND

One (1) year of professional experience as listed above.

 

Preferred/Desired Qualifications:

  • Working level knowledge of Information Technology operations.
  • Working level knowledge of Washington State budget development.
  • Working level knowledge of Washington State legislative and rule processes.
  • Working level knowledge of delegated purchase authority and invoice processes.
  • Working knowledge of stakeholder engagement strategies.
  • Working level knowledge of Lean Six Sigma.
