This position is currently eligible to telework. This position is required to work in the office at least 2 days a week. This may change based on business needs.

The WSLCB Enforcement and Education Division is announcing an exciting opportunity for an Administrative Assistant 4 position in Olympia, WA. This position reports to and supports the Deputy Chief of Operations within the Enforcement and Education Division. The position serves and complements the WSLCB’s mission and goals by providing a wide range of administrative support to the Enforcement and Education Division. In this role, you will use independent judgment, establish priorities, and solve problems. Additionally, you will be involved in the Investigative Aide hiring process.

Duties
Some of the duties you will perform are:
- Calendar Management – Review all appointment requests/invitations; keep the Deputy Chiefs and Managers updated on schedule changes and upcoming meetings; advise relevant staff on calendar updates and potential events.
- Meeting Management – Review and respond to meeting requests, coordinate, and schedule meetings; secure meeting space; research and organize pertinent information for Deputy Chief’s review prior to meetings.
- Coordinate scheduling, logistics, agendas and note-taking for various unit, stakeholder advisory group, and/or work group meetings. Prepare summary of meetings and discussions.
- Prepare and review various correspondence for internal and external needs on behalf of the division’s Deputy Chiefs and Managers.
- Route and distribute all correspondence, complaints, licensing actions and monitor timeliness of response.
- Participate in strategic and quality planning and process improvement meetings, workgroups and/or committees.
- Support the division’s Deputy Chief’s with stakeholder contacts via telephone and written correspondence, taking messages, and ensuring they are received by the recipient in a timely manner or delegated to other staff appropriately.
- Support the division’s Deputy Chiefs in continuing a proactive relationship with external and internal stakeholders.
- Utilize agency tracking systems to create projects that are used to track files and their status assigned to Licensing Non-Renewal request from external stakeholders.
- Use agency and division computer systems to provide case-specific information and other data to the division’s Deputy Chief’s as requested.
- Tracks assignments and projects to include deadlines, follow-up and document review on behalf of the division’s Deputy Chiefs.
- Develops reports from customer service surveys and field activities on behalf of the division’s Deputy Chiefs and shares the information with Management.
- Participates in the hiring process of Investigative Aides to include; background checks, drug and alcohol testing, PAR forms, and updating IA’s contact information and age verification tracking. Maintains and updates master spreadsheet reflecting most current IA information for field staff.
- Assist other administrative support on various tasks as needed; serve as a back-up to the AA5 position.
Qualifications
Required Qualifications:
A High School Diploma or GED equivalent
AND
Four (4) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work.
AND
A valid unrestricted WA State Driver’s License – corrective lenses excluded.
