This position is currently eligible to telework. This position is required to work in the office at least 2 days a week. This may change based on business needs.

The WSLCB Enforcement and Education Division is announcing an exciting opportunity for an Administrative Assistant 3 position in Olympia, WA. This position provides and coordinates administrative support functions for the Tobacco Tax/Vapor Captain (WMS, Band 2) within the Enforcement and Education Division. The position serves and complements the WSLCB’s mission and goals by providing a wide range of administrative support to the Enforcement and Education Division. In this role you will provide field office support for Tobacco, Tax & Vapor, Liquor, and Cannabis Units. Additionally, you will use independent judgment, establish priorities, and identify measure and solve problems that matter to internal and external customers.

Duties
Some of the duties you will perform:
- Represents Captain/Lieutenants and serves as the primary liaison contact in the Tobacco Tax/Vapor Unit; provides administrative support to regions staff; provides field office support for LEOs in other programs; coordinates office operations; opens all mail and distributes; reserves and arranges meetings rooms and transcribes meeting minutes.
- Ensures timesheets for all regional staff are accurately checked, processed, and submitted by payroll cut-off date. Report reoccurring Officer errors to supervisors. Coordinates and/or completes the preparation of documents such as those related to purchasing, payroll, budget, and event coordination.
- Assists with special projects assigned by the Captain. Tracks projects including violation spreadsheets. Change Officer Area (EO) codes.
- Routes and assigns correspondence; licensing/regulatory actions; and monitors timeliness of response. Responsible for records management, including archiving records.
- Review Investigative Aide (IA) hiring documentation for completion before submitted to the AA4 in headquarters. Schedule IA training and prepare the termination of employment documentation based on changing conditions as directed by the supervisor.
- Provides responsive customer service to internal and external customers effectively.
- Keep all information and actions regarding the WSLCB and our customers confidential if required.
- Serves as a member of the division administrative support team facilitated by the Director’s administrative assistant (AA5) with a focus on process improvement, centralized processes, and other relevant activities. Actively participates in huddles or other meetings as needed.
- This position is responsible for handling and distributing all incoming and outgoing mail to staff assigned in regional and field offices when needed. Mails required signage to licensees. Directs licensee employees to the website for Responsible Liquor and Tobacco ID/Overservice classes.
- Track violations, complaints, citations, and suspensions.
- Research office supply and equipment orders, maintain office inventory, and reports as required by the division.
Qualifications
Required Qualifications:
A High School Diploma or GED equivalent
AND
Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work.
OR
An Associate’s degree
AND
One (1) year of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work.
OR
A Bachelor’s degree
