Minimum Qualifications of Education and Experience

Associate’s degree from an accredited college or university in business, administrative assistant, or related field.

OR

Combination of education and experience equivalent to two (2) year of experience in a customer-focused position.

Regular and reliable attendance is a necessary component of job/position.  Individuals required to use County vehicles and equipment must have a valid driver’s license and be free of any major traffic violations for the last three (3) years.

Nature of Work

Under supervision of the Program Manager within the Assertive Community Team (ACT), and under the guidelines identified in MN Statue 256B.062, the ACT Program Assistant provides a variety of administrative support to the team, customers, and families. This includes, but is not limited to answering questions, compiling data and reports, billing tasks, training others, and preparing correspondence. Work is performed independently with attention to detail and periodic review for accuracy and conformance to prescribed standards.

Examples of Work

  • Maintains records of office activities.
  • Enters data accurately for health care billing.
  • Assists other staff with day-to-day support functions; provides backup support for other functions in the office.
  • Answers and responds to phone inquiries, resolves concerns and questions from internal and external customers. Manages the program phone line during business hours.
  • Prepares a variety of correspondence, legal forms or reports with great attention to detail.
  • Works with confidential information, following data practices and procedures.
  • Answers inquiries about departmental functions and operating procedures from internal and external customers.
  • Performs general administrative support tasks for the ACT team.
  • Creates documents, presentations in multiple software applications.
  • Compiles data and reports.
  • Provides trouble-shooting assistance on computers, software applications, office equipment, and provides technology support in conference rooms.
  • Performs customer service as needed related to office and county activities.
  • Develops monthly program newsletters.
  • Perform related work as required.

Knowledge, Skills and Abilities Required

  • Knowledge of policies, regulations, statutes, operating procedures and practices regarding the area of specialization.
  • Knowledge of legal and technical forms and terminology in the area of specialization.
  • Knowledge of de-escalation techniques.
  • Skill in the use of computers and technology, including Microsoft Office applications.
  • Skilled in the use of office equipment required in the area of specialization.
  • Ability to effective communication verbally and in writing.
  • Ability to provide excellent customer service.
  • Ability to learn new applications and systems.
  • Ability to prioritize and organize work.
  • Ability to maintain records and reports.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to work with confidential information
  • Ability to recommend solutions to problems.
  • Ability to schedule and coordinate multiple calendars, meetings, and events.
  • Ability to create documents, presentations, and other correspondence.
  • Ability to work in a fast-paced office environment.
