Job Description

ADMINISTRATIVE ASSISTANT 2School of Engineering (SOE), to perform complex and diverse administrative support for the associate dean and for programs in the SOE.  Responsibilities will include calendar management and scheduling diverse and complex appointments and meetings; preparing and drafting correspondence; responding to inquiries through phone, Zoom, and email; distributing mail; shipping documents; maintaining office equipment and contracts; maintaining electronic filing systems, organizing incoming correspondence, and keeping official records; processing purchase orders using B2P; managing credit card charges; handling requests for payment; making complex local/domestic/international travel arrangements and processing expense vouchers; and anticipating the needs of the associate dean where possible and establishing and maintaining an efficient workflow.  Will also–under minimal supervision–support day-to-day operations of programs in the SOE, including communication, coordination, and organization of the program’s activities, events, and projects; support positive internal and external relationships and work with others to identify common areas of interest and opportunities to collaborate; communicate with internal/external stakeholders; respond to inquiries in alignment with MIT policies and procedures; and handle other projects as assigned.

 

Job Requirements

REQUIRED: high school diploma or its equivalent; three years’ direct/related experience in a professional administrative support position; excellent organizational, problem-solving, interpersonal, communication, and writing skills; ability to interact with a diverse group of staff, students, and visitors; tact, good judgment, and discretion with confidential information; attention to detail; initiative; ability to work independently and within a team; ability to successfully balance and prioritize workload; proficiency with Adobe Acrobat and MS Word, Excel, and PowerPoint.  PREFERRED:  bachelor’s degree and experience at MIT or other university experience.  Job #23270-5
