Full-Time Admin Assistant, Cell Biology Program
Job Description
Are you looking for a challenging and rewarding administrative position where you can utilize your organizational, communication, and time management skills? The Cell Biology Program is currently seeking an individual to support the research and teaching portfolios of several scientists/senior scientists. This is a four day a week position and offers a hybrid work experience of remote and on-site work.
Here’s What You’ll Get To Do:
- Provide day-to-day administrative support to the Scientists
- Maintain Canadian Common CV and U of T CV
- Provide support for all HR functions such as job postings, hiring, contract management, terminations, timekeeping, etc.
- Process and monitor reimbursements, invoice payments, and expense transfers.
- Complete monthly reconciliation of financial reports and corporate credit card statements; follow up on discrepancies
- Create monthly financial summary for all cost centers
- Act as liaison between the Scientist and the Grant Accountant for financial matters
- Assist with grant application preparation and submission
- Assist with creating and updating laboratory websites
- Assist with managing Outlook calendar for the Scientists
- Schedule travel for Scientists, including flights, hotels, conference registration, etc.
- Order lab supplies through the Sickkids procurement system
- Provide administrative support to Scientists for their UofT teaching duties, scheduling, and setup.
- Assist with program administrative tasks as determined by the Program Manager.
Here’s What You’ll Need:
- Completion of a post-secondary degree or diploma program.
- Minimum of 1-2 years administrative experience is required.
- Above average proficiency with computers and software applications such as, Microsoft Office (Word, Excel, Outlook, and PowerPoint) and Adobe Acrobat.
- Understanding of basic financial accounting.
- Excellent interpersonal and communication skills.
- Excellent attention to details.
- Ability to problem solve effectively.
- Ability to work well independently as well as in a team environment.
- Experience in a hospital or university setting would be an asset.
- Experience with WordPress will be an asset.
- Demonstrated ability to handle multiple tasks and prioritize work in an efficient and organized manner.

Employment Type: Full-time Temporary 18 Month Contract with Modified Benefits (i.e. health & dental), 1.0 FTE
