Full-Time Accounting/Operations Manager

Position Overview

Healthier Colorado is looking for a talented, motivated and organized Accounting and Operations Manager to join our dynamic and growing team. The Finance and Operations Manager reports to the VP of Culture and Enterprise, and will help our family of organizations manage the infrastructure and activities necessary for efficient, accurate and elegant operation. The duties associated with this position include management of our time and expense system, our online file system, our software and hardware subscriptions and inventory, and support in managing logistics with boards of directors. This is a salaried position that requires at least some in-office work at our office in Denver, and may occasionally require travel, and work on nights and weekends.

Position Responsibilities

Operational Duties

  • Ensure the continuity of necessary organizational insurance coverage, including but not limited to directors & officers coverage and general liability coverage
  • Manage our online passwords system to ensure that the right staff has access to the passwords they need
  • Manage software, media and other subscriptions to provide staff with necessary resources in the most efficient way possible
  • Maintain and communicate as necessary our system of online file organization so that the team puts the right files in the right places
  • Assist the VP of Culture and Enterprise in the production staff retreats and training for Healthier Colorado staff and instances in which the entire family of Healthier Colorado entities participate together.
  • Assist the VP of Culture and Enterprise in maintaining an onboarding system for incoming new employees
  • Other duties as assigned

Regulatory Duties

  • File necessary “periodic reports” and “registered charity reports” due to the Colorado Secretary of State

Board Management Duties 

  • Support the CEO with the management of the Healthier Colorado and The Fund for a Healthier Colorado Boards of Directors
  • Maintain database on boards of directors with relevant contact and term of service information.
  • Assist the CEO in the scheduling and venue management of board meetings.
  • Assist the CEO in the compilation of the board packet for board meetings.
  • Record minutes at board meetings.

Time and Expense Management

  • Register new employees with organization credit cards and cancel credit cards upon employee exits.
  • Download credit card bills and upload them into Tallie (our expense tracking system) once per month
  • Categorize the expenses for the credit card used for organization-wide expenses (the so-called “inside card”) on a monthly basis.
  • Maintain and communicate a schedule of deadlines and associated information for the time and expense system as necessary with staff so that the team submits information on time.
  • Maintain and communicate standard operating procedures for the time and expense system as necessary with staff so that the team submits information accurately and with as much ease as possible.
  • Other duties as assigned

Bookkeeping – Accounting Duties 

  • Transfer invoices from our internal system to the Bill.com system (our bill payment system) on a weekly basis.
  • Coordinate with the accounting team as necessary on bill payment and employee reimbursements
  • Insure accurate accounting/bookkeeping records
  • Track revenue, expenses and reimbursements as needed
  • Communicate with staff and accounting consultants to insure accurate data capture
  • Deposit incoming checks and communicate to team members as necessary regarding incoming wire transfers.

Preferred Qualifications

  • Non-Profit Bookkeeping or Administrative Experience a plus
  • 2+ years general administrative and/or bookkeeping experience
  • Medium size business accounting or operations experience a plus
  • No formal attainment of higher education is required for this position

  • Excellent organizational, time management, and follow-through skills, as this is a deadline driven role
  • Self-directed and results-oriented, handling multiple tasks and deadlines
  • Proactive and independent problem solver
  • Ability to handle confidential information, including financial information, professionally
  • Exceptional ability to communicate technical and financial information to individuals without a financial /technology background
  • Excellent analytical skills
  • Ability to interact effectively with all levels of management and staff
  • Proficiency in Google Suites, Quickbooks, Insperity, Tallie
  • Ability to work independently and as part of a team

Compensation and Benefits

Compensation

Salary is commensurate with qualifications and experience. Salary range is $57,000 to $63,000 annually.
