Full-Time Database and Reports Manager

Job Description

SUMMARY

The Database and Reports Manager will be primarily responsible for creating and maintaining various queries, imports, exports, and reports, utilizing both the Raiser’s Edge and Luminate Online databases. The DRM will be responsible for pulling and formatting various lists for the organization, including event solicitation and invitation lists, utilizing Microsoft Excel. This position reports to the Director of Donor Databases and supervises the Database and Reports Associate and Online Database Associate.

ESSENTIAL DUTIES AND RESPONSIBILITIES

 Reports and Data processing:

  • Creates and maintains reports, list pulls, queries, imports, and exports using Raiser’s Edge, Crystal Reports, Excel, Luminate, or other programs to fulfill the data and analysis needs of the Development Department, Board and Volunteers, and the Finance Department.

Database Integrity:

  • Works closely with Development Staff to ensure accuracy in gift and constituent coding; Assumes responsibility for database integrity and responds quickly and accurately to requests for changes and updates to databases
  • Performs regular cleanup queries to ensure data is accurate.

Donation and Revenue Maintenance:

  • Manages the daily donation activity, including all online and offline giving, ensuring all donations are correctly coded and credited to the appropriate constituent and ensures that daily reconciliation and income reports are complete by the end of the day.
  • Performs monthly and annual reconciliation of Raiser’s Edge income to General Ledger revenue.
  • Acts as a point person between Development Staff and Accounting Staff.

Training:

  • Develops and maintains database guidelines; ensures guides and procedures are up-to-date and recorded for other staff to use.

Troubleshooting/Problem Solving:

  • Provides support to Development and Finance Staff when questions, concerns or problems arise. Prepares for and assists with annual audit for areas concerning income.

Constituent Management and Donation Entry

  • Reviews and creates individual donor, organization, and gift records to ensure accuracy and consistency in gift allocation, pledge payments, giving level, proper and personalized salutations, marital status, gender, matching gift agreements, contact information/limitations and any other information that is required by Development/Finance staff.
  • When the Database and Reports Associate or Online Database Associate are out of the office, the DRM must be able to process gifts.

Skills & Competencies:

  • Incredibly detailed oriented and focused, yet adaptable and responsive
  • Excellent oral and written communication skills;
  • Motivated, well-organized, self-starting, dependable, able to work well under pressure, a team player; ability to work well with others, demonstrated problem-solving skills

Software:

  • Microsoft Office Suite (specifically Word, Excel, PowerPoint)
  • Database Experience preferably Raiser’s Edge

SUPERVISORY RESPONSIBILITIES

  • Supervises the Database and Reports Associate and Online Database Associate.

SALARY

Salary is based on the Collective Bargaining Agreement.  Competitive benefits package is provided, including medical, dental, life and long-term disability insurance, employer contributions to retirement account, and substantial vacation.
