Specific Key Responsibilities & Duties

 

Invoicing & Payment Processing:

  • Review of printing and posting of daily shipments
  • Verification of new orders, determination to release based on credit status, and follow up on any orders on credit hold
  • Review of daily invoices and monthly statements to ensure prompt mailing
  • Processing of daily cash receipts and bank deposits, ensuring accurate posting of payments to customer accounts, including balancing cash receipts to the ERP
  • Process large batches of pre-authorized auto credit cards payments and daily credit card processing for credit card orders.
  • Forward all claims deducted from payment to sales representatives for approvals and follow up to ensure claims are cleared from A/R accounts in a timely manner

Account Reconciliation:

  • Regularly reconcile accounts receivable ledgers to ensure all transactions are accurately posted and resolving any unapplied amounts

Collections and Dispute Resolution:

  • Follow up on overdue accounts, manage collections, and resolve customer payment disputes
  • Assist with the forecasting of cash receipts based on forecasted sales and expected collection timing

Customer Account Management:

  • Maintain and update customer accounts, including processing adjustments, credits, and refunds
  • Prepare summary of monthly deductions from customer accounts for transfer to Short Payment account

Reporting and Analysis:

  • Generate and analyze accounts receivable reports to monitor outstanding balances and assess credit risk

Compliance and Process Improvement:

  • Ensure compliance with company policies and regulations, and identify opportunities for process improvements
  • Assist in quarterly, year end audits, and other related duties or special projects as required

 

Knowledge, Skills & Abilities Requirements

  • Successful completion of Post-Secondary Education with emphasis in accounting and/or equivalent work experience
  • 2+ Years experience in an Accounts Receivable role administering collections, receipts and short-pays with Canadian based retailers in pharmacy, health food, grocery and/or club retail
  • Experience with credit card processing and payment processing through a merchant account provider is a must
  • Experience within a computerized accounts receivable system
  • Excellent data inputting skills (speed and accuracy)
  • Bilingual (English/French) preferred
  • Moderate proficiency in (Excel) and word-processing (Word) programs
  • Excellent investigative and analytical skills
  • A team player with a positive attitude
  • Ability to work independently with excellent time management skills
  • Available to work overtime may be required, but is not expected
