About the workplace

This role will enjoy a hybrid working arrangement which can be fulfilled primarily from your homebased office in BC. Periodically, you’ll be required to attend in-person activities or events at our 312 Main location or within the Lower Mainland. For this reason, we are looking for someone who has a relational and proactive workstyle.

About the Role

The Philanthropy Coordinator plays a critical role in ensuring the accuracy and integrity of data in the foundation’s CRM; entering, updating, and maintaining constituent profile data, fields, and segments, and generating reports to support Philanthropy campaigns, events, and activities. The Philanthropy Coordinator implements routine donor engagement touchpoints and provides operational support to the Philanthropy department.

This is a Full-time, Permanent role working on a Hybrid schedule and reports directly to the Senior Manager of Development.

A typical day could involve:  

  • Inputting and updating constituent data using fields, notes, tags, tasks, and requests in the CRM system.
  • Performing constituent profile updates and integration, ensuring that data is accurate and aligned with diversity, equity, and inclusion principles (i.e. updating pronouns and preferred names and communication preferences).
  • Implementing appropriate segmentation, tags, and tracking to ensure accurate reporting and metrics and generating mailing lists and reports to support community-centric fundraising processes.
  • Providing administrative support for meetings, events, organizing signatures using docusign, and preparing payment requests.
  • Coordinating routine touchpoints such as welcome letters for recurring donors and In Honour/In Memory processes.
  • Carrying out data management processes adhering to policies and procedures to ensure data accuracy and integrity. Recommending business rules to ensure best practices and industry standards are followed.
  • Maintaining data documentation, including dictionaries, workflow diagrams, and job aides.
  • Liaising with our CRM vendor for possible troubleshooting, data integration and CRM infrastructure issues.
  • Keeping up to date with industry trends and best practices, recommending and implementing improvements to support JEDI principles.

We are looking for someone who:

  • Has an aspiration to work within an anti-oppressive and anti-racist organization.
  • Has knowledge and experience applying REDI principles.
  • Shares the foundation’s values and our commitments, including to the Philanthropic Declaration on Truth + Reconciliation, the Halifax Declaration on Anti-Racism, and the Canadian Philanthropic Commitment on Climate Change.

Plus you have…

  • Education in Computer Science, Information Systems, or a relevant field is an asset. We will consider a combination of education/experience.
  • Previous experience in a similar role with database administration.
  • A solid understanding of data management principles and best practices.
  • Strong analytical, problem solving, and inquiry skills, with the ability to resolve database issues.
  • Ability to work both independently and collaboratively with a team.
  • Strong Microsoft Word and Excel skills.
  • Familiarity with database design principles and able to identify process bottlenecks and make recommendations for process optimization.

The salary is expected to be up to the mid-point of the salary range for this role ($62,000). The upper half of the salary range is typically reserved for individuals who have demonstrated consistent strong performance in the role and possess a high level of job knowledge and skill.
