Full-Time Legal Administrative Support Manager

This position plays a critical role on the Firm’s management team, with responsibility for managing a large team of legal administrative professional staff in the St. Louis and Belleville offices. The successful candidate will provide supervision, coaching and growth/development plans to direct reports, which include Legal Administrative Assistants, Specialists, Team Coordinators, and other legal support services staff supporting attorneys. The position requires a proactive, team-oriented approach for collaboration with administrative department leaders and offers a dynamic opportunity to recommend and implement workflow systems. This position is eligible for a flexible hybrid-remote work schedule and, while based in St. Louis, will schedule regular visits in the Belleville, IL office.

 

Key Responsibilities

  • Supervises daily workflow of legal support staff, which includes Legal Administrative Assistants/Specialists (LAA/LAS), Practice Support Team Coordinators (PSTC), and Administrative Support Assistants (ASA).  In managing workflow, creates and balances workload assignments as necessary to ensure effective, timely, and cost-efficient coordination for completion of client and administrative tasks.
  • Conducts strategic and goal-oriented monthly Practice Support Team Coordinator meetings and quarterly LAA meetings to discuss any upcoming changes, including staffing assignments, procedures, software integration, and to provide an opportunity for questions, solutions, and other information relevant to the practice support teams.
  • Continually reviews and assesses attorney/LAA assignments, workloads, and teams to ensure appropriate staffing ratios and considers innovative approaches to workflow management.
  • Collaborates with Staff Talent Acquisition Team to recruit and staff positions once approval is obtained.  Reviews applications and interviews candidates for open positions, recommends starting compensation, finalizes hire process including assigning and setting up workspace, and coordinates ongoing integration of new legal support staff members.
  • Administers the annual performance evaluation process for  legal support staff including compensation considerations and conducts evaluation meetings for all assigned staff.  Maintains regular communication with attorneys to evaluate staff performance and document appropriately.
  • Under the supervision of the Director of Strategic Workforce Planning & Development, monitors and manages performance by providing counsel, coaching and disciplinary action.  Resolves employee relations issues among practice support team members, LAA/LAS, ASA, and other legal support staff as necessary.

 

Experience and Education Qualifications

  • Bachelor’s Degree in Business or other relevant degree required.
  • Minimum of five (5) years prior supervisory/management experience required, preferably in a legal environment or other professional services firm.
  • Professional certification such as PHR or Certified Legal Manager (CLM) preferred.
  • Ability to delegate appropriately to direct reports and identify goals, measurable outcomes and overall accountability.
  • Ability to acclimate to change, invite feedback and implement changes and improvements that result in better efficiencies. Questions common practices to streamline processes and ability to revamp processes and redefine workflow in light of changing business and industry needs.
  • Must have the ability to provide leadership, stability and demonstrate strong decision-making skills while maintaining composure when faced with a dilemma.
