Position Summary:

The Staff Assistant for Professional, Corporate, and Community Education will be responsible for the daily operations and communications with participants enrolled in all CCE programs, including several key programs—specifically Senior College, the Executive Leadership Institute (ELI), and noncredit professional development programs. The Staff Assistant will be committed to providing extraordinary customer service for all prospective students, staff, and faculty at BSU and our external partners. The staff assistant should be an equity-minded individual who demonstrate a sensitivity to and understanding of the diverse identities and life stages of our community members with special attention being paid to the needs of older adult learners.

The Staff Assistant will be responsible for assisting Senior College members with completing the proper application, processing payments, ensuring that they receive BSU credentials, and have access to technology and other resources necessary for them to access their courses. This person will work with the Director and external partners to schedule Senior College courses, coordinate the logistics for both in-person and virtual courses, and will work with faculty on technology and access issues. This person will also provide support for ELI, including assisting with planning for both virtual and in-person events. Duties will also include assisting with marketing activities. This position will also be responsible for tracking and data collection.

As a member of the College of Continuing Studies Team, the Staff Assistant will assist in office coverage, including our reception desk, phones, and general email accounts on an as needed basis.

This position is located on campus in Bridgewater, MA. This position may be eligible for hybrid / remote work in accordance with BSU remote work policy.

This is an exempt, APA unit position and is subject to the terms of that union agreement.

Position Type: APA Professional

Essential Duties:

1. Assist the director with coordination of course and event programming for Senior College.
2. Act as liaison with off campus partner sites in Plymouth, Easton, Attleboro, and Bridgewater to ensure that in-person Senior College courses run smoothly.
3. Track Senior College and ELI data (enrollment, promotions for ELI participants post participation, etc.)
4. Process instructor and consultant stipends for Senior College, ELI, and other noncredit programs to ensure timely payments are made to our contracted staff.
5. Schedule meetings, maintain program calendars, and assist with travel arrangements (planning, reimbursement, etc.).
6. Prepare correspondence, notifications, and Community and Students Announcements when needed.
7. Administer and monitor departmental budgets, create requisitions and purchase, and track department purchasing procedures.
8. Oversee the hiring of Senior College student assistants, manage their schedules, and supervise their work.
9. Other duties as assigned.

Required Qualifications:

1. Experience working with an older adults and/or demonstrated transferable experiences that establish a desire to exercise significant patience and understanding for older adult learners—while in the pursuit of exemplary customer service and support for this population.
2. Advanced computer skills, including proficiency in Microsoft Excel, Word, and Outlook and other web-based applications.
3. Must be able to identify, organize, and prioritize multiple job responsibilities.
4. Must have the ability to carry out responsibilities with limited supervision.
5. Excellent verbal and written communication skills, strong interpersonal skills, and attention to detail are required, as is flexibility
6. Bachelor’s degree.
