Department: SEO Scholars, High School

Reports To:  Assistant Director, Program Operations

FLSA: Exempt 

Compensation: $68,000- $72,000

 

 

LOCATION/HOURS

This is a hybrid position based out of our San Francisco office location. It is expected that some duties will be performed on-site, and some remotely, with the understanding that government and public health guidelines will determine the extent to which it is safe to carry out in-person and onsite activities.

All candidates must be within commutable distance of SEO’s offices at Three Embarcadero Center Promenade Level, Suite P-1 San Francisco, CA 94111 upon hire.

San Francisco Scholars

SEO Scholars provides motivated, low-income public high school students with a rigorous out-of-school supplemental academic curriculum, college guidance, and the leadership development necessary to gain admission to, and succeed at, competitive colleges and universities. SEO Scholars San Francisco is the first expansion region for this program and aims to replicate for Bay Area students the stellar outcomes that the program has delivered in New York City. POSITION OVERVIEW

The Program Operations Manager plays an essential role in overseeing the operations of the high school component of the SEO Scholars program. The Program Operations Manager ensures the seamless execution of after-school, Saturday, and summer programming, preparing meticulous in advance and problem-solving while on-site. Additionally, the Program Operations Manager tracks, maintains and analyzes all program data and oversees the operations of our Chabot Community College partnership. This person draws on their organizational and project-planning skillset to ensure the effective implementation of operational processes across grade-level cohorts, directly impacting the scholar experience of the SEO Scholars program. 

The Program Operations Manager plays an integral role in supporting students and staff by planning logistics; overseeing a team of part-time assistants; ensuring the highest-quality operational systems remain in effect; and maintaining our technological infrastructure.

 

SCHEDULE:

  • Monday – Friday (July-August) 
    • Monday-Friday 8:00am-4:00pm PT
  • Tuesday – Saturday (September-January) 
    • Tuesday-Friday 11:00am-7:00pm PT
    • Saturday 8:00am-4:00pm PT

 

 

RESPONSIBILITIES      

Program Operations (50%)

  • Design, implement, and maintain operational systems and processes for virtual after-school, in person Saturday, and in person Summer programming for up to 480 high school students
  • Manage procurement, tracking, and distribution of all Scholar subsidies for meals and transportation
  • Oversee and streamline systems for data entry, maintenance, and reporting of all program data including but not limited to: Academic data (grades, assignment completion, attendance, retention, demographics), College Admissions data (SAT scores, college lists, financial aid, applications, admission results)
  • Manage program materials purchasing and organization systems including tracking receipts and creating monthly expense reports
  • Lead identification and development of programmatic space relationships. Manage all necessary permitting, contracts, insurance requirements, as well as collaboration with space managers
  • Owns all aspects of the program space during program hours, serving as the first point of contact for any issues arising with the space, technology, materials, and/or requests from Scholars and Instructors
  • Supports the execution of operations for the Chabot Community College partnership, including application, dual enrollment, and registration process, as well as the logistical operations for students, instructors, and professors
  • Oversee family communication systems including a monthly Family Newsletter, maintaining updated family contact information, and managing texting communication platform
  • Oversee program site emergency protocol operations and AlertMedia communication system
  • Oversee the completion of LiveScan fingerprinting processes for long-term program volunteers
  • Perform other duties as assigned

Site Staff Management (20%)

  • Each semester, recruit, onboard, and train a team of two part-time Site Assistants who execute on-site program logistics
  • Provide effective on-site management, set team and individual goals, coach on best practices, and provide regular feedback to support professional growth of part-time Site Assistants

Program Event Logistics (30%)

  • Plan and support logistical execution of all program events, including college trips, graduation, Career Networking Day, and College Networking Day
  • Provide operational support for family engagement events such as FAFSA Day and family workshops

MINIMUM QUALIFICATIONS

  • Bachelor’s degree required.
  • 1 to 3 years of professional experience managing and executing complex projects and logistics, such as planning events or facilitating ongoing operations of an organization or group
  • Experience working with middle or high school students is required. 
  • Experience managing or leading team; internship and program management applies. 
  • Technical proficiencies in Google Suite and MS Office. Knowledge of Salesforce, Canva, LMSs, and advanced reporting skills are a plus.
  • Experience in a fast-paced, dynamic start-up, and/or entrepreneurial environment is highly desirable
  • Bilingual Spanish/English or Cantonese/English is highly desired

COMPENSATION

The compensation listed in this posting reflects what SEO believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and SEO reserves the right to modify this pay range at any time.
