Full-Time Assistant To the Dean (Administrative Program Support 4)

JOB SUMMARY

The Assistant to the Dean (Administrative Program Support 4) performs high-level functions, supports upper-level operations, and provides confidential support to maximize the effectiveness of the Dean through the fulfillment of administrative, scheduling, and coordination requirements. The person in this position also serves as a liaison for the Dean’s Office with other executive offices, schools/colleges, departments, faculty, staff, and Dean’s Office visitors.

DUTIES AND RESPONSIBILITIES

Working to support the effectiveness of the Dean, the Assistant to the Dean:

  1. Performs administrative duties on behalf of the Dean and assists the Dean in carrying out objectives.
  2. Performs administrative duties on behalf of the Dean.
  3. Manages the Dean’s Suite to ensure reception coverage and appropriate student staffing.
  4. Provides administrative support to the Assistant Dean/COO on matters related to Neag School Facilities and Human Resources.
  5. Collaborates with the Director of Communications on all communication efforts for the Dean.
  6. Maintains and updates knowledge by participating in educational opportunities.
  7. Represents the Dean to other University Offices, public, or outside organizations to gather or transmit information that affects the operations of the Dean’s Office and Neag School, including the Foundation/Development Office and Alumni Relations.
  8. Maintains the Dean’s calendar and makes travel arrangements.
  9. Completes other tasks assigned by the Dean.
  10. Plan and coordinate commencement and other Dean’s Office events.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree and a minimum of 5 years of experience in a progressively responsible administrative support or leadership position.
  • Demonstrated supervisory and administrative ability.
  • Excellent interpersonal skills with the ability to work effectively with diverse groups.
  • Proven ability to resolve complex problems efficiently, effectively, and independently.
  • Excellent organizational and planning skills.
  • Excellent written and verbal communication skills and attention to detail.
  • Ability to maintain the confidentiality of sensitive information.
  • Ability to work occasionally on weekends and evenings.
  • Knowledge of Microsoft Office, including proficiency with Word and Outlook

PREFERRED QUALIFICATIONS

  • Master’s degree in a related area.
  • Experience working in an institution of higher education.
  • Experience with travel logistics.
  • Experience with event planning.
  • Experience managing calendars and scheduling using Microsoft Outlook.
  • Demonstrated ability to learn and adapt to new software/procedures as needed. Familiarity with Kuali, CORE, PageUp, Husky Buy, or similar enterprise systems.

APPOINTMENT TERMS

This is a full-time, 12-month position with an anticipated start date of August 25, 2023. Salary will be commensurate with qualifications and experience.
