Full-Time Special Assistant to the President’s Office

Job Description

Everytown for Gun Safety, the largest gun violence prevention advocacy group in the country, is seeking a passionate, dedicated professional for this role. The Special Assistant to the President will support the President of the organization, provide support to a variety of projects and programs across the organization and will be an integral part of making sure our Executive Leadership department runs smoothly. 

This role reports to the Chief of Staff, and will include the following responsibilities:
  • Manage the President’s calendar, including managing his daily schedule and acting as a gatekeeper for the President with professionalism
  • Track priorities, day-to-day tasks for the President
  • Lead travel operations and advance for the Executive Leadership team, including itineraries, reservations, accommodations, and transportation
  • Staff the President at events and meetings
  • Manage the President’s briefing book and ensure proper meeting preparations
  • Support strategic operations on the major donor fundraising team
  • Support Executive Correspondence, including email communications, triaging the President’s inbox, and assisting the Director of Executive Communications
  • Support the planning of board of directors activities
  • Plan and manage events including off-site meetings, Executive Team retreats, special meetings, org-wide events, and fundraising events
  • Assist with other interdepartmental special projects as needed
  • Assist the Chief of Staff with management of Rapid Response operations in major media moments.
  • Plan and manage leadership meetings, including agendas, meeting minutes, and follow-up
  • Manage the leadership team’s expenses, reports, and contracts
  • Develop a solid understanding of the organization; be able to manage information flow within the Executive Leadership team
  • Develop best practices and efficient processes for administrative functions
  • As a quick thinker and communicator, be able to provide timely, concise, and regular updates to the Chief of Staff and the President
  • Handle sensitive information with utmost discretion and confidentiality
  • Represent Executive Leadership team on internal staff committees
To be successful in this job, you must have:
  • Strong oral and written communication skills
  • Ability to quickly problem solve and managing shifting priorities
  • Passion for providing excellent customer service to internal and external constituents
  • Outstanding attention to detail
  • Eagerness to pitch in wherever needed
 
Required Qualifications:
  • 2+ years of professional experience in an administrative or operations role
  • Ability to thrive in a fast-paced organization
  • Interest and commitment to gun violence prevention
  • Experience working on electoral or issue campaigns a plus
  • Experience with event planning a plus
  • Previous experience staffing a principal a plus

 

This position is based in the New York City office following a hybrid work schedule.

The salary range for this position is $55,000 to $60,000 per year. Everytown offers a generous benefits package including medical, dental, and vision benefits; paid time off; a 401(k) match; education assistance; and more.
