Full-Time Contract Administrator/Paralegal

Job Description

Summary

The Contract Administrator/ Paralegal works independently and with moderate supervision in a fast-paced Legal Department.  The Contract Administrator/Paralegal shall receive, triage, assign, and track contract requests/ requests for contract review by the Legal Department under the company’s Contract Policy.

Essential Functions

  • The Contract Administrator/Paralegal is responsible for fielding and researching answers to inquiries directed to the Contract Management Group by the business.
  • Other responsibilities include (but are not limited to) managing general requests for legal assistance in a timely manner.
  • Working with in-house attorneys and paralegals to manage the legal aspects of the contracting process.
  • Assisting the Contract Management Group with administrative tasks, including drafting documents, updating, and maintaining form contracts, filing contracts in the contract management system, and reviewing redlines to agreements with the company’s fallback positions.
  • Other responsibilities may include legal research projects, preparing presentations, support for mergers and acquisitions, and all other duties as assigned.
  • Review contracts and other agreements for compliance with company’s preferred standard provisions and track changes for attorney review and approval
  • Organizes, maintains & edits contracts, legal files, reports, records, and presentations for law department.
  • Prepares and analyzes reports for the department and performs other record-keeping activities as assigned.
  • Communicates with attorneys and other departments in coordinating project-based work as needed.
  • Manage contracting database and other systems for tracking incoming legal requests and provide periodic updates to Contract Management Group
  • Assists & supports department leadership in all assigned activities.
  • Performance of other duties as required or assigned.

Minimum Requirements

Education/Experience:

  • Bachelor’s degree preferred, and a minimum of one or more years of experience providing contract support to attorneys and paralegals in a fast-paced environment.
  • Experience in a corporate law department or law firm, with a focus on client management, customer service, and operations are strongly preferred.  Pharma experience preferred.
  • Experience with following fallback positions for confidentiality agreements and services agreements preferred.

Skills/Qualifications:

  • Strong drafting and research skills
  • Ability to manage multiple projects and deadlines.
  • Excellent communication (verbal/written), problem resolution, organizational, and interpersonal skills are essential, with the ability to communicate and work effectively with internal and external customers.
  • Ability to draft internal and external communications.
  • Strong research and report-generating skills, MS Office proficiency including: Word, Excel, PowerPoint, Outlook, Share Point and legal database software.  Experience with SAP Ariba a plus.
  • The capability to work in a highly efficient manner, the proficiency to multi-task, and the ability to prioritize workloads is critical.
  • Successfully fulfills work assignments with a high level of accuracy and timeliness on a day-to-day basis for activities related but not limited to, meetings, agendas, and summaries.
  • Must be able to provide superior customer service and demonstrate high levels of initiative.
  • Must be detail-oriented, be responsive, highly organized and demonstrate independent thought, good judgment and critical thinking.
  • Must be able to exercise confidentiality and discretion.

Organizational Relationship/Scope:

Collaborates within a legal department and will interact with individuals from all levels within the organization. (professionals to senior executives).

Working Conditions:

This position works within a normal office environment and is eligible for hybrid working model (home and office).
