The Administrative Assistant will support the St. Joseph’s College of Nursing by fulfilling responsibilities that facilitate the delivery of an educational program while meeting institutional, accreditation or regulatory requirements. The successful candidate demonstrates a commitment to confidentiality especially as it pertains to student information; a commitment to diversity and ensuring equity while promoting inclusion in the College community; and can relate well to students, faculty, staff, volunteers, community members and administrators. The successful candidate can function independently but possess the ability to function within a team as needed

ESSENTIAL FUNCTIONS

  • Serves as the Title IX Coordinator and administrative support for the Grievance and Student Code of Conduct processes. Activities include:
    • Ensures faculty/staff/students are educated each academic year about the Title IX, Grievance and Student Code of Conduct processes
    • Ensures Title IX Committee members are certified through the SUNY Student Conduct Institute
    • Completes the Annual Security Report (aka Cleary Report) or other accreditation or regulatory requirements in collaboration with the Dean or Dean’s designee
    • Collaborates with committee members to create the annual Campus Climate Survey
    • Maintains confidential records of Title IX, Grievance and Student Code of Conduct documents
    • Other activities as may be required to ensure compliance with Title IX and the Grievance and Student Code of Conduct processes.
  • Provide administrative support for the Dean and Associate Deans for Academic Affairs. As requested this may involve:

Sending out letters

Arranging meetings

Assisting with survey submissions

Other activities that arise e.g. proofreading and assembling accreditation reports

  • Provide administrative support to the Faculty Council Progression Committee
    • Maintain the “white Board” of students brought to the Progression Committee for review
    • Send letters to students following determinations of student progression by the Committee
    • Take Minutes of the Committee discussion
    • Maintain confidential files of the Progression Committees deliberations and decisions.
  • Provide administrative support for the Dean’s Advisory Council
    • Schedule recurring meetings
    • Publish the agenda
    • Take minutes
    • Execute any follow-up items decided at the meeting
  • Manage the administrative tasks of the Awards and Scholarship program. This involves such activities as:
    • Tracking when selection of award or scholarship recipients need to be determined
    • Arrange Award & Scholarship meetings
    • Create letters or certificates to send to award and scholarship recipients
  • Request checks for recipients
  • Process donations that come directly to the CON
  • Maintain the Policies, Procedures and Guidelines of the College of Nursing
    • Ensure policies are reviewed a minimum of every two years
    • Notifies the faculty/staff/students as appropriate of a revised or new policy
    • Publishes policy, procedure or guideline as needed
    • Keeps track of policies, procedures or guidelines that are undergoing revision.
  • Participate in the work of the shared governance councils in particular the Student Development Council and assist with the activities planned by the group.
  • Other duties as assigned such as sharing coverage of the front reception desk as needed; ordering keys; support for ad hoc committees

QUALIFICATIONS

  • 1-2 years experience providing administrative support preferably in an institution of higher education
  • Strong customer service background
  • Familiarity with technology a plus including computer skills (Microsoft Office Suite)
  • Strong organization skills and the ability to multi-task
  • Ability to communicate and work with diverse populations is necessary, as are excellent interpersonal, planning, teamwork, and organizational skills
  • Ability to actively listen, problem solve, and effectively communicate with students, colleagues, and outside constituents
