Job Description

The American Civil Liberties Union of Pennsylvania (ACLU-PA) seeks a Finance Assistant to support the organization’s financial operations. 

 

The ACLU-PA is a nonprofit, nonpartisan public interest organization, dedicated to defending and enhancing personal freedoms protected by the Constitution and the Bill of Rights through litigation, legislative advocacy, and community education. It is a fast-paced environment that addresses issues with dynamic, precedent-setting solutions. The ACLU-PA has three offices, ten volunteer chapters, around 40,000 members and donors, 40 employees, and a $6.6 million operating budget.

 

The candidate will possess exceptional organizational skills and attention to detail, be a strong communicator, and be able to manage multiple priorities.  We seek a self starter looking to build and strengthen their skills in a variety of nonprofit finance and administrative areas. While focusing on financial tasks this position will also play an important role in supporting other administrative functions of the organization. 

 

The finance assistant will report to the Director of Finance and Administration. 

 

This position will be based in Philadelphia. We currently offer a hybrid, flexible work schedule. This position will require at least two days per week in the office, and more as needed to fulfill job responsibilities.

JOB RESPONSIBILITIES

Specific responsibilities will include but not be limited to:

 

  • Accounts Receivables & Banking: Process bank deposits; review and maintain petty cash receipts and documentation.
  • Accounts Payables: Manage AP approval process for vendor invoices, credit card transactions, staff expense reimbursements. Record approved AP in Quickbooks Online. Prepare manual checks. 
  • Resolve tax exemption issues. 
  • Maintain updated vendor W‐9, prepare 1099 filings.
  • Maintain orderly digital accounting filing system. 
  • Maintain a calendar of fiscal obligations and deadlines.
  • Prepare schedules for expense allocation and journal entries.
  • Fiscal grant management support: Assist  in fiscal grant management activities including:

budgeting, expense tracking, documentation, reporting, and others

  • Financial & audit support: Support in budget development, audit prep and auditor field visits, and other management of agency finance and accounting practice.
  • Create and streamline financial processes, taking advantage of available technology.
  • Assist with technology projects .
  • Other projects as assigned.

 

QUALIFICATIONS

We seek applicants with strong attention to detail and interest in nonprofit finance. 

 

  • 1‐4 years of experience in bookkeeping, accounting and/or related activities.
  • Computer skills, Excel, and accounting software experience required. (Agency uses

Quickbooks Online)

    • Ability to communicate effectively and professionally to all levels of the organization is essential.
    • Detail‐oriented skills, interest in numbers, reliability, problem‐solving ability, adaptability, and integrity.
  • Ability to work from the Philadelphia office a minimum of two days per week and more as required.

 

COMPENSATION AND BENEFITS

The ACLU-PA offers a generous and comprehensive compensation and benefits package.  The annual salary for the position is $60,000. Benefits include 11 paid holidays along with generous vacation and sick leave; individual/family employer-provided health insurance; life insurance and long-term disability; and a defined contribution plan with employer match. This position is full-time, salaried, and non-exempt under the Fair Labor Standards Act.
