Full-Time Sr Payroll Administrator

Job Description

US candidates must be based in any of the following states:

The Sr. Payroll Administrator will conduct the organization’s full cycle payroll functions, ensuring payroll, reporting, and taxes are processed on time, accurately, and in compliance with government regulations.  This role will work with finance, People &. Culture (HR), auditors, and our team around the US, ensuring smooth operations.  This position is highly visible in a growing organization and reports directly to the Controller.

Duties/Responsibilities:

  • Manage workflow and review payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Process semi-monthly payroll.
  • Pay employees through the production and issuance of pay checks or electronic transfers to bank accounts.
  • Calculate and process off-cycle payrolls as needed.
  • Track and coordinate payroll changes with HR. Ensure all changes are implemented for employees impacted and processed accurately and timely, including new hires, terminations, and changes to pay rates.
  • Assist employees with payroll related inquiries, including use of the payroll system.
  • Download payroll GL files to upload into the accounting system.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Issue annual W-2’s
  • Pay and report local, state, federal taxes for all entities.
  • Reconcile deductions and coordinate with HR for variance.
  • Assist with reconciling payroll bank account.
  • Assist with payroll and HR documentation and respond to information requests for annual financial audits, 401k audits, and worker’s compensation audits.
  • Identifies and recommends updates to payroll processing software, systems, and procedures.
  • Maintain confidentiality with all payroll-related matters.
  • Performs other duties as assigned by Controller.

Required Skills/Abilities:

  • Extensive knowledge of the payroll function full cycle including preparation, balancing, internal control, and payroll taxes.
  • Excellent organizational skills and attention to detail.
  • Familiar with federal, state, and local payroll, wage, and hour laws and best practices across multiple states.
  • Strong analytical and problem-solving skills.
  • Strong interpersonal skills.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with payroll software.
  • Growth mindset.  Open to process improvement and organizational growth.
  • Cultural competency and proven experience in highly diverse organizations.

Education and Experience:

  • Bachelor’s degree in accounting, Business Administration, Human Resources, or related field is required.
  • Five to seven years of related Payroll experience required.
