We are currently hiring for the position of:
Film Coordinator, Film Office
The Film Coordinator (Festival) is responsible for providing support for the guest experience and guest logistics for filmmakers and other guest stakeholders that are invited to participate in Festival programming initiatives. This includes guest coordination and content and materials collection for Festival films. This position will aim to ensure overall exceptional service and administrative support for both internal and external stakeholders.
RESPONSIBILITIES:
Shall include but not be limited to:
- Act as primary film guest contact while also serving as a primary liaison between the guest and internal TIFF teams
- Collect required publicity materials for Festival films, to be used in TIFF’s printed and online/digital publications and platforms (i.e. film stills, trailers, synopses, credits, bios, headshots, etc.)
- Track the collection of materials ensuring that tracking documents are always up to date in order to be referenced by other internal teams
- Liaise with films in selection in order to confirm credit information, communicating all changes to internal teams in a timely manner
- Assist in auditing of official Festival publications including press releases, printed/online collateral and all film web pages
- Liaise with internal and external teams to coordinate guest travel and accommodation logistics
- Assist in the coordination of official guest/talent participation in screenings, events, and other programming activities
- Provide on-site assistance to guests during the Festival as required
- Provide exceptional service to filmmakers, programmers and invited guests, ensuring a positive experience from invitation through to the end of the Festival
- Coordinate hospitality offerings for film guests as required
- Organize accreditation needs for guests with films in Official Selection
- Build detailed guest itineraries as required
- Confirm filmmaker and talent attendance at official TIFF events
- Maintain confidentiality of guest information and integrity of programming
- Provide consistent and accurate reporting to the guest and to internal TIFF departments when required
- Provide a detailed Festival post mortem report
- Other coordination tasks and duties as assigned
JOB GRADE & RATE OF PAY
- Job Grade 2
- $20/Hourly
TARGET CONTRACT DATES:
- June 13 – September 20, 2022
MINIMUM REQUIREMENTS:
- Minimum 2 years experience in arts and culture administration
- Intermediate knowledge of both Canadian and international cinema and film industries considered an asset
- Experience working for a film festival or large scale event an asset
- Experience with guest logistics or talent management an asset
- Experience booking hospitality arrangements for individuals or groups an asset
- Strong communication, customer service, interpersonal and organizational skills
- Excellent phone manner and written communication skills, as well as a knack for relationship building
- Enthusiastic, ambitious, self-motivated, and open to working in a team environment
- Strong organizational and administrative skills with extreme attention to detail, diligent record-keeping and the ability to effectively prioritize tasks
- Strong computer and data management skills, including databases, CRMs, project management tools, internet research, Microsoft Office, Google Suite
- Enjoys fast-paced, multi-tasking work environment, with a willingness to adapt to shifting priorities and circumstances
- Mature personal judgment, exhibiting a high level of professionalism and diplomacy, and ability to handle confidential information
- Able to handle difficult situations and people with a positive, problem-solving attitude
- Ability to both work independently and in a team environment
- Ability to maintain broad focus while attending to detail
- Understanding and commitment to superior client servicing
- Adaptable to a flexible work schedule including some evenings and weekends to meet deadlines, as well as during Festival
