Part-Time Part-time Court Liaison Clerk
Job Description
The Court Liaison Clerk is a non-sworn position of the Oshkosh Police Department within the Administrative Services Bureau and is directly supervised by the Records Supervisor. The Court Liaison Clerk is responsible for the organization and coordination of processing reports on all adult persons arrested by or for the Oshkosh Police Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
• Review arrest reports (criminal, misdemeanors and traffic) and accompanying documents for accuracy and forward to the proper authority. Process OWIs, Criminal Traffic and Civil Traffic and summons on the TRACS data system and prepare reports for the appropriate prosecuting attorneys and the Court Commissioner. Appear in court for initial appearances of ordinance and traffic violations and assist prosecutors as required. (30%)
• Maintain open communication with other agencies regarding the Department’s procedures for the issuance of summonses and other documents, including diversionary programs. Maintain liaison interaction with department employees, the City Attorney’s office, the District Attorney’s office, the courts and other law enforcement agencies. Assist prosecuting attorneys with communication to officers regarding follow-up for cases and issuing/re-issuing summonses. Facilitate and track subpoena service and cancellations to officers as directed by the City Attorney and District Attorney’s office. Arrange for service and process subpoena cancellations. (20%)
• Prepare and send correspondence to defendants regarding revised/updated information related to their case. This includes notifying parents of juvenile traffic violations and other court proceedings. Respond to inquiries related to ordinance and state arrests. (15%)
• Process court documents and enter court dispositions into various software programs upon conclusion of each case. Operate various computer programs and software as deemed necessary for the position. (15%)
• Keep abreast of legal updates, policy and procedure changes related to court activity. Inform officers of these changes when necessary. Maintain necessary records in accordance to applicable state laws and records retention policies. Review inter-office memos from other staff members and initiate proper courses of action. Comply with Accreditation reporting requirements that are applicable. (10%)
• Make suggestions and recommendations for improvement in operations to supervisor(s). This includes notifying supervisors when errors are made by officers that affect proper processing of defendants. Assist with emergency situations and department special operations as required. Attend and participate in staff meetings, committee meetings and work unit meetings as well as attend and participate in meetings of various professional groups and organizations as requested and appropriate. Attend training as relevant for this position. Promote public relations and constantly strive to promote a positive image of the department through demonstration of high quality and professional service to the public. (10%)
• Perform other duties as assigned.
