POSITION AVAILABLE: EXECUTIVE ASSISTANT
The National Academy of Design seeks an energetic, highly organized individual to join its team to serve as Executive Assistant. This position reports to the executive director and deputy director and helps manage and coordinate the ongoing activities of the Director’s Office and organization. They serve as a liaison with staff, Board of Governors, donors, vendors, and the larger National Academy community. Ongoing duties will include general office management; organizing the meetings of the Board of Governors and internal and external committees; and providing administrative support to the executive director and deputy director. The successful candidate will be proactive, discreet, reliable, have a positive attitude, and be able to manage multiple projects simultaneously with a team-oriented approach.

RESPONSIBILITIES:
- Manage ongoing office operations, including scheduling, office supply inventory, communications systems, mail and deliveries, maintenance, and more;
- Organize and maintain administrative file server and hard-copy files;
- Assist executive director with scheduling, workflow, and special projects;
- Assist deputy director in financial operations such as monitoring corporate credit card expenses, collecting receipts, and coding expenses;
- Schedule and maintain Board of Governors and Committee meetings / calendars, and draft minutes;
- Assist the deputy director in the management of IT systems and ongoing relationship with our external IT vendor;
- Assist the deputy director with the onboarding of new employees and time-tracking reports;
- Draft correspondence and oversee director’s office mailings;
- Assist with Salesforce database management;
- Additional administrative activities as assigned.
QUALIFICATIONS:
• 2-5 years of related work experience, preferably in a similar role and/or with an arts or cultural organization
• Excellent communications skills, both written and verbal; a tactful communicator
• Ability to represent the organization in a professional, poised, and generous manner
• Enthusiasm for the organization’s mission
• Excellent computer skills, including proficiency Google Suite and MS Office Suite; experience with Salesforce a plus
• Meticulous attention to detail, and a commitment to high performance standards and an inclusive working environment
• Ability to manage multiple projects simultaneously, organize and set priorities, and function calmly under pressure
• Flexible, adaptive, punctual, and highly reliable
COMPENSATION:
The salary range for this full-time, permanent position is $50,000-$60,000 and includes an excellent, comprehensive benefits package.
