We are currently hiring for the position of:
Manager, TIFF Cinematheque Programming
Reporting to the Senior Manager, Festival Programming and TIFF Cinematheque, the Manager, TIFF Cinematheque Programming, is responsible for the successful management of the planning, programming and operations of the TIFF Cinematheque department and initiatives for year round, Festival and special projects. Key responsibilities include curation, planning, and departmental administration. This position works closely with relevant teams to ensure high quality service, support, and administrative processes for internal and external stakeholders. This position will manage staff and contractors as required.
RESPONSIBILITIES:
OPERATIONS
- Management of TIFF Cinematheque department operations, workflows, and team
- Create, maintain and manage implementation of new and updated departmental processes, workflows and communications and related documentation/materials
- Create, monitor and update critical paths, workbacks and key dates
- Hire, onboard and supervise staff, contractors and co-op students including: recruiting, assigning, goal setting, coaching, performance management
- Oversee direct reports’ supervision of interns and volunteers
- Negotiate, draft and administer contracts for independent contractors
- Represent department at meetings including Curation and Production
- Ensure departmental programming and operating goals are on track
PROGRAMMING and PRODUCTION
- Manage planning, production and presentation of Cinematheque programmes, events, activities and special projects (year round and Festival)
- Serve as a Programmer including programme ideation and curation
- Manage calendar/slot scheduling and allocation of Cinematheque programming
- Develop, plan and program minimum 2 to 3 series/programmes per calendar year
- Manage outreach, ideation, and scheduling with internal/external programmers
- Manage guest and moderator research, outreach and prep
- Host guests and special events linked to programmed series as required
- Research and write film notes, capsules, essays and oversee film note writing with Editorial team
- Participate in interviews and content pieces as required
- Create, review and update Artifax arrangement builds and related records
- Oversee coordination of special events, including screening related parties, cocktails, concerts/piano accompaniment, soft-titling for 35mm screenings, other special technical requirements for screenings
- Liaise and manage relationships with internal teams and external stakeholders to ensure unified approach to programming presentation and promotion
- Collaborate with MarComms to identify outreach and programming opportunities
- Administer internal/external booking processes and requests, including negotiating with major studio distributors, local/international distributors, film archives, consulates, cultural organizations, private collections
- Process contracts for film loan request forms and operator/licensing agreements
- Assist with sign-off on collateral (e.g. publications, press releases, web audits)
FINANCIAL MANAGEMENT and REPORTING
- Monitor and manage Cinematheque related department and project budgets
- Assist Senior Manager and Director with administration of annual budget including: tracking, monthly finance reports audit, forecasting, revenue and expense projections and buildups, year end accruals
- Oversight of department NetSuite administrator, processing invoices, approvals, and reconciliation
- Oversight of creation and delivery of box office reporting for Cinematheque related screenings
- Contribute to departmental planning: strategic and operational plans, annual budgets, post mortems
- Other related duties as required and assigned
CONTRACT DATES OR START DATE:
- January 24th, 2022 to March 17th, 2023 – PARENTAL LEAVE CONTRACT
MINIMUM REQUIREMENTS:
- Minimum 3+ years experience in arts and culture administration or management
- Minimum 3+ years experience in programming planning and production
- Experience managing or coordinating large, long-lead projects
- Excellent knowledge of film industry with Film or Cultural Studies degree an asset
- Experience managing staff and ability to lead and give direction effectively
- Experience with guest/talent/speaker management
- Excellent interpersonal, public relations and communication skills
- Strong organizational and project management skills with extreme attention to detail, timelines and objectives and ability to prioritize
- Experience with managing and monitoring budgets
- Strong negotiation skills and experience with contracts
- Excellent computer skills and data management skills, including databases, CRMs, project management tools, internet research, Microsoft Office, Google
- Precise memory for names, positions, companies and situations
- Mature personal judgment, with high level of professionalism and diplomacy
- Ability to work independently and in a team environment in fast-paced, high pressure environments
- Creativity to develop innovative solutions
