Full-Time Department Administrator, Physics

Job Description

Brandeis University seeks to hire a Department Administrator in the Physics department to oversees research support, liaising with the Division of Science pre and post award groups as well as Central administration when appropriate.  Oversees all space changes within the department and works with the Division’s facilities staff on renovations. Independently performs a broad range of administrative duties, including a wide variety of non-routine tasks, requiring judgment and discretion in both routine and non-routine situations.  Supervise regular support staff.

Examples of Key Responsibilities:

  • Oversees all department financial activity for grants, contracts, restricted and unrestricted funds.
  • Work with chair on annual academic plan; upcoming year’s and 3 year period of courses to be taught, who will be on sabbatical or not teaching for other reasons, and who will teach what course in the upcoming year. Work with faculty to determine capital needs.  Develops the operating budget for the department and prepare financial options for funding graduate students with faculty & GSAS.
  • Directs departmental staff  and is responsible through the staff for for the efficient operation of the Physics department office as well as the programs which the department supports (eg colloquium, special events, dept. web pages) including the assignment of office space for all graduate students ad postdocs.
  • Oversees semi-annual effort reporting for all staff charged to grants and works with faculty to determine funding for summer salary.  Also works with faculty to determine appropriate funding for all graduate students during readmission
  • Coordinates with central administration, the Academy, the Intellectual Property Office and other support departments and serves on University or Department committees as requested.
  • Oversees and approves all Marketplace transactions for the department including coordinating furniture orders for offices.

Skills & Qualifications:

BS/BA plus 1-3 years related work experience

Additional experience strongly preferred

Knowledge of University operations; proficiency with Microsoft Office; proficiency with ERP software, preferably Workday
