Full-Time Administrative Business Partner

SYPartners – Posted by andyng92 New York, New York, United States

Job Description

The role

The Administrative Business Partner (ABP) supports the needs of Partners and other leaders in our Consulting practice—ensuring that they have the infrastructure and systems in place to do their best work, and for the wider business to run seamlessly and effectively. The ABP will gain an understanding of SYPartners’ business, philosophy, and approach to work, and will partner with the Administrative Team to provide support across the firm. The performance and actions of the ABP are highly visible and have significant impact on both the leaders and their teams—and therefore on SYPartners as a whole. The ideal candidate for this role demonstrates strategic thinking, a deep understanding of systems, shows empathy, poise, discretion, and is a team player in every way.

The work you’ll do

  • Partner with the remote Administrative team members as a NY office point of contact for Partners and clients working at the NY office.
  • Schedule meetings and manage a complex calendar for the Partner(s) you support (who may each own entire bodies of work and business units, manage multiple projects, client relationships, and numerous SYP teams at the same time).
  • Arrange detailed travel plans (domestic/international), prepare itineraries/meeting agendas, and submit timesheets and expense reports for the Partner.
  • Communicate and liaise with leaders and teams—internally and with clients—to ensure everyone is aware of logistical and strategic updates
  • Provide strategic support to ensure that the Partner(s) has the time, resources, and materials needed to accomplish immediate priorities, their goals, and those of SYP—this may include inbox management and communication/response strategies
  • Be an active member of the Administrative team, participating in weekly meetings and special projects, and providing backup support when other team members are out of the office or are overloaded.
  • Function as a conduit between the Partner(s) and program lead supporting the varied projects the Partner(s) may lead.
  • Own and collaborate on the scheduling and logistics of big meetings like leadership off/on-sites, client meetings, and cross-office sessions.
  • Travel (up to 20%), and provide off-hours communication including some weekends, as needed.
  • Maintain accurate records and files (meeting notes, correspondence, reports, budgets, status of ongoing projects, contact databases, etc.)

Desired experience and skills

  • 3-5 years executive-level experience in a fast-paced and constantly changing environment—ideally within a management consulting or creative agency.
  • Proven ability to collaborate within an administrative team environment, and work cross-functionally with internal and external partners.
  • Excellent written and verbal skills.
  • Proficiency/high comfort level with technology (specifically Google Suite, Slack, Mac OS, and familiarity of InDesign).
  • High attention to detail, along with logical reasoning and problem-solving skills to troubleshoot issues and get things done.
  • Superior organizational skills and impeccable follow-through on tasks, while producing timely and accurate deliverables.
