Job Description
United States of Care is seeking an Office Manager to join its growing team. The mission of United States of Care is to ensure that everyone has access to quality, affordable health care regardless of health status, social need, or income. United States of Care is a non-partisan non-profit that is building and mobilizing a movement to achieve long-lasting solutions that make health care better for everyone. United States of Care will help make it happen by working with Americans from across the country: patients and caregivers, advocates, physicians and other clinicians, policymakers, and business, civic, and religious leaders.
Position Overview
A full time position, the Office Manager is part of the Operations Department. This administrative position is multi-faceted, and will support the whole of the organization in day to day operations, office management, accounting, financial aspects of grants management, scheduling, and other administrative functions.
The Office Manager understands and values the importance of administrative roles, is entrepreneurial and collaborative, has strong organizational skills and excellent attention to detail, and manages to deadlines. They “manage up” on the progress of assignments and take direction well. Ability to multi-task and work independently are essential. The Office Manager reports to the Chief Operating Officer.

Responsibilities and Duties
Office Management and Administrative
- Provide overall support and structure to Operations department;
- Perform general office management functions such as maintaining inventory, ordering supplies, providing technical support, facility management, and maintaining vendor relationships;
- Manage and ensure smooth operation of office protocols and systems, ensuring all staff are equipped with necessary policy and information;
- Maintain organized office files and assist in IT management;
- Maintain organizational subscriptions and memberships;
- Coordinate, secure space, and support meetings and events throughout the organization such as Board Meetings, internal staff meetings, social activities, and retreats;
- Prepare agendas, make travel arrangements, and maintain organization’s general calendars as well as assist with scheduling for Chief Operating Officer;
- Handle confidential information such as employee personnel files and benefits administration;
- Assist in special organizational projects as they arise;
- Commitment to prioritizing diversity, equity, and inclusion principles, including utilizing organization’s equity lens to inform all work.
Accounting
- Perform and manage all bookkeeping functions for the organization including accounts payable and receivable, and bank deposits;
- Monitor and conduct tracking and reporting of restricted funding, including employee timesheets and accounts payable;
- Perform monthly revenue reconciliation with Development Coordinator;
- Monitor and report on lobbying expenditures, ensure compliance in coordination with off-site legal and accounting;
- Work with off-site Accountants to maintain financial records, accurate coding, and general record keeping;
- Other related duties as assigned.
Qualifications

- Commitment to diversity, equity, and inclusion principles in your work;
- Minimum of 3 years of professional administrative experience in bookkeeping, office management, grants management or equivalent position with similar responsibilities;
- Previous experience in a nonprofit organization preferred;
- Must be able to commute within the Washington, DC metro area weekly;
- Proficient knowledge of Intacct, GSuite applications, and Microsoft Office products preferred;
- Knowledge of general bookkeeping and accounting principles;
- Demonstrated interest and success in an operations, administrative, and/or bookkeeping role;
- Ability to respect and handle confidential information;
- High attention to detail, ability to handle and manage multiple projects and deadlines at once and deal with competing priorities from multiple sources;
- Ability to take informed risks, step out of your comfort zone and embrace ambiguity; use organization’s collective intelligence to solve problems, weigh outcomes, and take calculated risks;
- Flexibility, enthusiasm, and an ability to handle whatever is thrown at you with confidence and a positive attitude.
Compensation and Location
The salary for this position is $50,000-$60,000 depending on experience.
This position is full-time and United States of Care offers a very generous benefits package including medical, dental, and vision insurance, 403b with match, and paid time off. While this position is currently remote, candidates must be located in and able to commute within the Washington, DC metro area.
