OPERATIONS ASSOCIATE

Reports to: VP of Finance & Operations 

Location: This position will be 100% onsite upon re-entry to a physical office in Manhattan estimated for Q4 of 2021.

DoSomething.org is a youth-led movement for good.

Our social impact campaigns have mobilized millions of DoSomething.org members to clothe half of America’s youth in homeless shelters, clean up 3.7 million cigarette butts from the streets, run the largest youth-led sports equipment drive, and register over 250,000 voters during the 2020 presidential election.

THE JOB

 

Reporting to the VP of Finance & Operations, the Operations Associate will contribute to the mission and vision of DoSomething.org through administrative coordination for its senior leaders, and office/events management to create an environment that empowers our team to do their best work. This role requires a passionate professional with an eye for detail, an interest in continuous improvement, and an affinity for collaborative and inclusive team culture. 

 

What you’ll do

 

Executive Support & Calendaring (40%)

Provide a wide range of administrative support to executive leadership, including calendaring, transcription, expense reporting, meeting coordination, data entry, database management, and other tasks to be assigned as needed. Under the direction of the VP of Business Development, maintain our CRM database (Hubspot) through regular data input, donor updates, dashboard creation and prospecting.

 

Organizational Culture & Office Care (40%)

General management of day-to-day office operations, including: 

  • Acting as the point of contact for office vendors and building management to address and resolve facilities needs for our physical and virtual spaces in a timely manner. 
  • Inventory management, including budgetary oversight for office supplies and equipment, coordinating deliveries to and from the office, and sorting mail. 
  • Under the direction of the VP of Finance & Operations, maintain the health, safety and cleanliness of DoSomething facilities by establishing processes and protocols for security procedures and systems, visitor check-in, routine cleanings and maintenance, and safety drills and inspections. 
  • Coordinate staff events calendars, milestone celebrations, onboarding activities, and provide general support to People Operations to concept and execute fun, inclusive and people-centric programs that add value to our office culture all year round.

 

Event & Travel Coordination (20%)

  • Plan, coordinate and execute event and meeting logistics for both external partners and internal teams. 
  • Oversee the booking and coordination of staff travel including flight, hotel, and ground transportation according to staff needs and budget. 
  • Work with project owners across the organization to ensure timely delivery on critical tasks leading up to events, troubleshooting during an event, and follow up activities at the close of each event. 
  • Assess events’ overall success and submit recommendations for continued improvement. 
  • Other special project and program support to be assigned as needed. 

 

 Who you are

 

  • At least 2-years’ direct experience providing administrative support and calendar management to multiple senior level managers. 
  • Seriously passionate about what we do and the people who do it. You believe in the collective power of young people and you’re obsessed with getting young people across the globe to take action on important social issues.
  • Proficiency in cloud based collaboration tools (GSuite, Slack, Trello, Airtable) required. Familiarity with Hubspot, or a similar CRM database, a plus. 
  • Strong interpersonal, verbal, and written communication skills, and experience interfacing with external facing audiences, and handling sensitive and confidential information with a high degree of judgment and discretion.
  • Results and detail orientation with a proven track record of delivering on critical tasks with a high degree of accuracy and minimal oversight. Responsive to the communications that keep things on track, and judicious in managing expectations and setting boundaries. 
  • Skilled in budget management and reporting. Comfortable tracking information and navigating spreadsheets, distilling insights from data, and communicating recommendations for continuous process improvement. 
  • A team player wholly committed to and confident in collaborating cross-functionally with diverse groups of stakeholders to deliver results.
  • Experience managing offices and workplace experience for a hybrid workforce, and delivering creative solutions to engage a distributed workforce. 
  • Must be able to lift at least 25 lbs, and stand or walk for long periods of time. 
  • Experience coordinating and executing a move to a new office space desired, but not required.
  • Previous experience as an events assistant is a plus!
