Full-Time Wellness Coordinator

YOUR ROLE

We are seeking a motivated Wellness Coordinator who’s capable of following through on tasks with little direction and no hand-holding. In this role, you will wear many hats, from client management administration and new business research
to social marketing and business information systems, but the main objective of this role is to work alongside our Employee Experience Manager, Graphic Designer and Wellness Managers to streamline internal operations and help bring awareness to the FitPros brand.

 

The person who fills this role must be well organized and can handle many projects and personalities at one time. Not only will you be a cornerstone for our internal team, you will also be in constant communication with our clients and fitness teachers. 

 

We are looking for someone who is passionate about helping others find health and happiness. The ideal person is based in the San Francisco Bay Area where we are HQ, but we’re open to remote candidates. 

 

Operations & Marketing Support Tasks

  • Support with the account management of our clients to secure dates, times and theme of their purchased program
  • Support the Wellbeing Managers and the overall sales process
  • Proof read all materials before they are sent to the client 
  • With Wellbeing Manager assemble themes, photos and content for monthly newsletter using MailChimp
  • With Wellbeing Manager ensure social media outlets are posted at least 3 days a week
  • With Wellbeing Manager write or curate at least 4 blogs a month to support SEO efforts
  • With Employee Experience Manager keep our Customer Relationship Manager (CRM) Contacts and Companies updated 
  • With Employee Experience Manager assist in keeping our internal operations streamlined, including our CRM and Calendar Invitations that are the foundation to ensure business operations run smooth to meet customer expectations and company goals
  • With Employee Experience Manager ensure that 2 Week and 2 Day Reminder Emails are scheduled to be sent to both clients and contractors.
  • With Employee Experience Manager and Finance Manager review Contractor timesheets to cross reference hours worked in CRM in preparation for payroll
  • Communicate with Contractors and Vendors to ensure FitPros pride and expectations are clear
  • With Employee Experience Manager outreach and planning of Wellness Events, Health Talks, and Fitness Classes
  • Attend Wellness Events, Health Talks, and Fitness Classes on a regular cadence to ensure FitPros culture and quality of service is delivered 
  • With Employee Experience Manager support FitPros Event Coordination:
    • Using the content details the AE input in the Asana task create touchpoints to communicate with vendors 
    • Facilitate with the AE and Designer for site visit with client to take photos and design the floor plan
    • Prepare event flyers (i.e. announcement, Wellness Passport and floor plan)
  • Conduct keyword/ competitor research, monitor keyword rankings using SEO tools. You do not need to be an expert as this will not be a focus, but you should have a pulse on how we’re doing
  • Actively look into PR opportunities, awards and speaking engagements 
  • Maintain the calender of potential HR events for which we should consider sponsoring a booth to attain new business
  • Stay up-to-date on industry news and trends. You and the Internet will be spending a lot of time together

 

Required Skills

  • Self-starter, who’s motivated to write, research, organize to benefit the company, even when not asked to do
    So, but actively communicates with their Manager before spending time on it.
  • Passion for fitness and positive outlook with the wholehearted interest to spread health awareness
  • Very detail-oriented, and almost obsessively organized
  • Professionally represents his/herself verbally and in writing
  • Strong proof-reading, grammar and creative writing skills
  • Willingness to attend FitPros fitness classes to “Mystery Shop”
  • Out of the box thinker, eager to brainstorm and be part of the team
  • Ability to identify problems in operations process and resolve them in quickly and timely manner
  • Follow standard operating procedures for efficient business operations
  • Maintain clear and accurate operations documents/procedures for reference purposes
  • Experience using any or all of the programs a major bonus: Hubspot, Asana, Slack, MailChimp, Google Suite
