Position: Venue Sales and Special Event Coordinator

Reports to: Director of Venue Sales

Location: Downtown Charleston, SC

Hours: Full-Time, Hourly. Some overtime, weekends, and evenings may be required.

Position Summary

The Venue Sales and Special Event Coordinator (VSSEC) coordinates sales activities and internal special events of the Charleston Gaillard Center. Specific duties include, but are not limited to: communication and coordination with internal staff to ensure successful planning and execution of marketing, development, and educational events; venue calendar management; coordinating sales materials and contracts; understanding client needs; and representing the company with clients and in the marketplace.

Responsibilities

  • Respond to sales leads as directed by the Director of Venue Sales and assist with proposals.
  • Coordinate local sales calls and help with mailings and promotional materials.
  • Coordinate sales bookings and date holds.
  • Coordinate sales client site visits, welcome packages, and thank you items.
  • Understand our sales contract and be able to answer questions regarding the clauses and policies.
  • Coordinate internal events for marketing, development, programming, and education departments.
  • For internal events, work with all departments to communicate appropriate details, maintain timelines, and budgets.
  • For internal events address potential problems to maintain the integrity of the event.
  • Work on multiple projects simultaneously.
  • Maintain confidentiality of all information.
  • Perform other sales and event planning duties as needed.
  • Attend local networking and industry events to represent the Charleston Gaillard Center as needed.
  • Maintain all sales and internal event records, invoices, and filing.
  • Must be able to work some nights and weekends.

Qualifications

  • Minimum of a Bachelors degree in Hospitality, Marketing, Communication, or related field; or in place of a degree, 5+ years of relevant experience
  • 1-3 years related experience
  • Must have a strong demonstrated working background in hospitality or event planning
  • Experience working in hotels, venues, or related industries are preferred

Skills and Knowledge Required

  • Strong computer proficiency and skills, are required
  • Good written and oral communications skills
  • Required attention to detail, accuracy, and organizational skills
  • Ability to read, comprehend, and follow instructions

Physical Requirements

  • Must be able to manage physical requirements of the position, with or without accommodations. Requirements include routinely carrying the tools of the trade, including but not limited to a laptop computer, and digital camera; setting up signs and banners, boxes, and displays; and being accessible to clients and internal staff for extended hours in the planning and execution of events and job duties.

Pay and Benefits

$20 – $23 per hour based on qualifications and experience.
