Full-Time Training Support Specialist

Job Description

Summary:

A Training Support Specialist has responsibilities for administrative and coordination tasks associated with all Customer and Field Service Training events held in our Madison, WI training facility. Responsibilities of this role include support for student registration processes, daily operations of the Accuray’s Madison training center, preparations of classroom materials and resources, tracking and maintaining expenses and inventories, and providing world-class customer experiences to our visiting students. Additionally, this role will provide coordination and support for prospective customer visits to Accuray facilities in Madison. This individual should thrive in a dynamic work environment, value team collaboration, and demonstrate a commitment to exceptional customer support.

Essential Duties and Responsibilities:

  • Provide timely, proactive, and professional support to training attendees and Accuray colleagues
  • Process training registrations in timely and accurate manner
  • Manage contracts and relationships for vendors supplying/supporting Madison training facility including hotels, catering, printing services, office supplies, etc.
  • Prepare supporting materials for training courses including, rosters, name badges, classroom workbooks/lab guides, and course certificates
  • Maintain overall course calendar and resource schedule management for Accuray’s Madison, WI training facility
  • Complete required tasks to maintain training records including post-course scanning and filing of course certificates and class rosters.
  • Collaborate with training team members to continuously improve student experiences in Accuray courses
  • Compile student data to be used for recurring compliance reporting and metrics purposes
  • Coordination and scheduling of guest lecturers as necessary
  • Partner with regional sales and marketing team members to support and coordinate visits for customers or potential customers to Accuray’s Madison facilities.
  • Able to work hours of 7am – 4pm CST, with potential need for occasional overtime.

Qualifications:

a. Required

  • Bachelor’s Degree
  • 5+ years relevant experience in administrative and/or customer support roles, preferably in the area of training
  • Must understand the necessity and value of teamwork; ability to work effectively as part of a team
  • Demonstrated customer focus; prioritizing customer needs and satisfaction in approach to work
  • Self-motivated, innovative, able to accomplish tasks with minimal supervision.
  • Sharp attention to detail, accuracy, and timeliness.
  • Strong interpersonal and communication skills, able to work effectively with wide range of people from diverse cultural backgrounds
  • Able to project confidence and professionalism in interactions with customers, prospective customers, and colleagues

b. Preferred

  • Experience with providing world-class customer service to a global audience
  • Experience in coordinating training or customer -elated meetings or events
