Full-Time Total Rewards Coordinator

Job Description

The Total Rewards Coordinator is responsible for assisting the Total Rewards Manager in the areas of benefits, compensation, and payroll.  This role will be the backup for payroll, processing it at least once per quarter.  Additionally, this role will work directly with employees, assisting them with questions or concerns related to all total rewards.  Finally, this role will coordinate all leave of absences and workers compensation.



Essential duties and responsibilities may include, but are not limited to, the following:

Benefits Administration:

  • Assists with the administration of comprehensive benefits program, including medical, wellness, dental, vision, disability, life, flexible spending account, retirement and auxiliary plans.
  • Respond to employees’ benefits-related questions, directing employees to Health Advocate or vendors for billing/claims issues. For more advanced situations, work closely with  insurance broker on resolving benefits matters.
  • Coordinate annual open enrollment process.
  • Review open enrollment elections for accuracy and timely completion.
  • Audit benefit vendor invoices quarterly for accuracy and process for payment on a monthly basis.
  • Assist with 401(k) plan compliance including review of plan activity, statements, testing, annual audit and Form 5500 filing.
  • Assist with all 5500s, including timing filing.
  • Coordinate employee education seminars relating to benefits and leave administration.

Leave Administration:

  • Coordinate leave administration (FMLA, ADA, Paid Family Leave, disability plans) in conjunction with managers and outsourced absence management vendors for new and open claims.
  • Coordinate administration of liability and workers’ compensation claims.


  • Assists with the processing of bi-weekly and off-cycle payrolls, using UltiPro and AX timesheet system
  • Assists the Total Rewards Manager with Ceridian Tax Services to timely gather, report, and pay all payroll taxes to Federal, state and local tax agencies on a weekly, monthly, quarterly and annual basis.
  • Assist in the processing of annual W-2 and 1095c
  • Assist in processing Garnishments and Withholding orders, and remit payments to the appropriate entity.
  • Assist in processing and forwarding to Principal Financial Group/401k vendor employee 401(k) contributions, employer match, and loan payments with each payroll.
  • Assist in processing and forwarding contributions to 24 Hour Flex, our vendor for HSAs/FSAs.
  • Assist in processing payroll taxes for stock compensation plans, including non-qualified stock option exercises and restricted stock award vestings. Send census and tax history file to Solium Shareworks to sync with UltiPro.
  • Research and correct payroll discrepancies and errors.
  • Ensure compliance with federal and state payroll regulations and guidelines.
  • Handle employment verification requests and review unemployment forms.
  • Respond quickly and accurately to employee inquiries regarding payroll/paycheck issues


  • Assist in the review of job descriptions, reviewing content and matching the job to salary surveys.
  • Prepare the compensation surveys that we decide upon using in any given year.

HR Administration/other duties:

  • Supports various HR plans and procedures for all company personnel.
  • Implements personnel policies and procedures, responds to employee inquiries regarding policies, procedures and programs, and promotes understanding and compliance by all employees.
  • Participates with the HR team on company-wide HR initiatives and long-term HR strategic planning.
  • Assists on the occasional backup of our receptionist.
  • Assists with the coordination of department functions and meetings.
  • Performs other incidental and related duties as required and assigned.

Experience and Training:

Any combination of the following experience and training (designated as required and/or preferred) that would provide the required knowledge and abilities is qualifying. 


1-3 years experience in HR or payroll role


Associates Degree or Certificate in HR, or equivalent experience
