Full-Time Technology Support Services Coordinator
Job Description
This position is responsible for various computer operations, mailroom operations, technical work in the operation of duplication, binding and related equipment and Information Technology Division administrative support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
• Prepare bills, invoices and payroll documents (30%): Perform computerized processing for various forms generation including, but not limited to, water bills, real estate taxes, parking notices, delinquent notices, direct deposit advices, checks, W-2s, personal property notices, assessment notices, etc. Create and maintain computerized forms for use by various City departments.
• Perform packing/shipping of parcels and process all inbound/outbound mail (25%): Package and ship items being returned to vendors, receive and log incoming shipments and coordinate internal deliveries.
• Operate mailroom specific machinery (20%): Produce/reproduce forms, reports, specifications, agendas and other printing requirements for City departments. Operate and maintain associated equipment.
• Be a resource for various Information Technology functions (15%): Handle technical inquiries and requests for information in person, by telephone and through e-mail and forward to appropriate personnel as necessary. Post electronic documents to City websites as directed. Monitor daily server system status and refer issues to appropriate staff as necessary.
• Track and prepare invoices for inter-departmental billings and vendor payment (10%): Prepare and maintain necessary records and reports and prepare monthly/quarterly documentation for charging departments for postage and printing usage. Verify and process various billings from vendors (UPS, FedEx, Verizon, AT&T, etc.).
• Perform other duties as assigned.
REQUIRED MINIMUM QUALIFICATIONS
Education and Experience:
• Graduation from high school or equivalent.
• Minimum of one (1) year customer service related experience.
Necessary Knowledge, Skills and Abilities:
• Thorough knowledge of office terminology, practices, procedures and equipment listed below.
• Experience with problem solving/troubleshooting situations.
• Ability to maintain confidentiality of sensitive information.
• General knowledge of bookkeeping practices and procedures.
• Thorough knowledge of computer operations and hardware terminology.
• Ability to operate a personal computer and proficiency with Microsoft Windows and Microsoft Office products.
• Ability to file information properly and consistently.
• Ability to perform duties accurately.
• Ability to communicate effectively, both orally and in writing.
• Ability to prioritize duties and effectively manage stressful situations.
• Skill in operation of listed tools and equipment.
• Ability to establish and maintain effective working relationships with fellow employees, other departments and members of the public.
• Possess good organizational skills.
• Possess thorough knowledge of the English language including grammar, punctuation and spelling.

TOOLS AND EQUIPMENT USED
Equipment normally used in a mail room and copy center, which may include but is not limited to: printers, calculator, phone, personal computer, copy machine(s), binding machine, auto-mailer, folder, postage machine, electric paper cutter, electric paper punch and laminator.

While performing the duties of this job, the employee is frequently required to stand, talk and hear. The employee is occasionally required to walk; use hands to finger, handle, or operate objects, tools, or controls; and reach with hands and arms. The employee must occasionally lift and/or move up to 60 pounds.
Specific vision abilities required by this job include close vision and the ability to adjust focus.
WORK ENVIRONMENT
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
Work is mainly performed indoors in an office setting. The noise level in the work environment is moderately noisy.
