Position Summary

The Special Events Facilitator provides support in the staffing and execution of special events and facility rentals at The Tech Interactive. This non-exempt, hourly position reports to the Special Events Senior Manager and will be scheduled based on the event calendar.

The Facilitator will assist guests with hands-on learning experiences at The Interactive during special events. We practice  learner-driven facilitation, where guests are encouraged to innovate and iterate. In this role you must be able to engage with visitors of all ages and backgrounds to create memorable moments of personal growth and team building.  The position requires flexible availability, primarily during evenings and weekends.


The Tech requires candidates to pass a background screening and provide proof of COVID-19 vaccination as conditions of employment.


Key Responsibilities:

  • Serve as on-site contact for clients during events and maintain hands-on event supervision to ensure a quality event.
  • Confirm details with the Senior Events Manager and/or Director prior to the event and implement event setup and teardown.
  • Collaborate with Senior Events Manager and Director of Special Events and Sales on supporting facility rentals and client relations.
  • Assist in coordination and follow-up of event logistics with vendors and The Tech’s staff.
  • Facilitate exhibit experiences with guests of varying ages and knowledge levels using our signature Design Challenge Learning style of facilitation.
  • Lead hands-on activities that encourage participants to work collaboratively, communicate with each other, and create a solution to a fun engineering challenge.
  • Interact and communicate with the public and ensure superior guest service.
  • Participate in required and optional training sessions to build and maintain facilitation and engagement skills.
  • Communicate with the Engineering and Facilities staff to assure that all exhibits, electronics and lighting in the gallery are functioning properly.
  • Perform cleaning as per protocols and follow all safety guidelines without exception.
  • Follow up on audio/visual requirements for events.
  • Attend weekly Special Events meeting and other mandatory meetings as required.
  • Oversee vendors for load-in, setup and teardown of events and ensure that procedures are followed and problems solved.
  • Conduct end-of-event walk-through with caterers and vendors, ensuring all requirements are met to leave the facility clean and free of damage, and complete end-of-event report.
  • Maintain current knowledge about The Tech’s programs, IMAX films, exhibits and other guest-related information.
  • Demonstrate The Tech’s mission and values including values in diversity, equity and inclusion in all aspects of the job.
  • Perform other duties as assigned.


Key Qualifications

  • Experience in event planning, coordination and/or execution.
  • Experience managing an event staff or team preferred.
  • Ability to work independently as well as part of an interdepartmental team.
  • Strong troubleshooting skills, able to solve problems on the spot.
  • Flexible schedule, able to match availability to event schedule.
  • Punctual and reliable with varied event schedule.
  • Ability to work in a public setting interacting with visitors and follow required safety protocols.
  • Teaching experience or experience working with adults and youth in a traditional or non-traditional educational setting.
  • Experience in engaging in and communicating technical/scientific topics to diverse groups with varying levels of exposure to and knowledge of the subject. Ability to appropriately adapt content as well as the ability to pace facilitation and make on-the-spot decisions as changes arise.
  • Excellent customer service, public speaking and listening skills.
  • Pursuing or completed bachelor’s degree in education, science, engineering or equivalent experience.
  • Ability to adhere to The Tech’s grooming guidelines.  Project a professional image during an event.
