About the role

We are looking for a diligent Senior Executive Assistant to provide high-level administrative support to our co-founders with daily administrative duties. The Executive Assistant will provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.

You will  provide high-quality administrative assistance and act as co-founder’s assistant in all aspects of the business. In this role you will coordinate calendars, draft, review and send communications on behalf of company executives, Organize and prepare for meetings to make sure outcomes are achieved, organize emails and respond when necessary, coordinate travel arrangements, create reports,  and other organizational tasks. You are able to identify and address the needs of the co-founders  and perform administrative tasks to ensure our company’s workflow runs smoothly.

About you

You are creative and enjoy working within an entrepreneurial environment. You have excellent organizational skills, be proactive, and possess a professional demeanor. Based on your previous experience, you are able to tackle any task in a timely fashion, communicate effectively, exercise good judgment in a diversity of situations, and can maintain a realistic balance among multiple priorities. You manage sensitive matters with a high level of confidentiality and discretion and always represent the company and the co-founders in a positive light through great follow-through skills and sound judgment.


  • Organize complex calendars and schedules; schedule meetings, appointments, and events and resolve any scheduling issues
  • Draft, review and sometimes send communications on behalf of company executives
  • Make travel arrangements
  • Conserve the co-founders time by reading, researching, collecting and analyzing information as needed, in advance
  • Prepare documents, decks, presentations, spreadsheets, etc. and assist
  • Prepare financial statements, reports, memos, invoices letters, and other documents
  • Handle basic bookkeeping tasks
  • Filing and retrieving corporate records, documents, and reports
  • Accurately record minutes from meetings
  • Perform office duties that include ordering supplies and managing a records database
  • Provide general administrative support
  • Troubleshoot various software malfunctions and/or leverage website support
  • Prepare expense reports
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
  • Perform additional duties as assigned by executives.

  • Strong  verbal and written communications skills to effectively and professionally communicate with people of all levels in a confident, professional manner
  • A strong business sense and can decipher priorities and make sound judgment calls when needed
  • Ability to function well and meet deadlines  in a high-paced environment
  • Previous experience as an assistant
  • Strong proficiency in office procedures, software, cloud systems, and office management systems
  • Strong interpersonal skill
  • Outstanding organizational and prioritization skills
  • Ability to think outside of the box with a sense of urgency


These are not requirements, but they can set you apart from other applicants.

  • Previous experience at a seed or Series A startup supporting a founder/co-founder
  • Bi-lingual in English and Russian
