Full-Time Senior Coordinator, Tropical Forests and Agriculture

Job Description

We are seeking a Senior Coordinator to join the Tropical Forests and Agriculture Program at the National Wildlife Federation (NWF) in Washington, DC to provide administrative and operational support for projects focused on advancing more sustainable business practices among major international companies involved in the production, sourcing and financing of agricultural products.

You will work alongside leading programmatic experts and liaise with partner organizations, coalitions and multi-stakeholder groups to help ensure effective and efficient execution of projects.

Background

For the past thirty years, the National Wildlife Federation (NWF) has worked internationally to protect wildlife habitat in key regions of the tropics. The goal of our international work is to eliminate tropical deforestation and human rights abuses driven by the production of globally traded agricultural commodities (soy, beef, leather, palm oil, pulp and paper) – the leading drivers of forest loss and habitat conversion in Latin America and Southeast Asia. NWF works with other leading conservation organizations through coalitions and multi-stakeholder partnerships to advance support for deforestation-free agriculture production, sourcing and financing.

The Senior Coordinator will report directly to the Senior Program Manager, and work in conjunction with the rest of the team based in Washington, DC, Europe, and Brazil to develop and implement administrative and operational processes to support our programmatic efforts.

In this role you will:
•Work alongside NWF staff in fostering support for multi-stakeholder efforts aimed at eliminating deforestation and habitat loss from beef, leather, palm oil, soy cacao, and pulp and paper supply chains.
•Work closely with the Senior Program Manager, Program Director and other team members to manage relationships with partner organizations, consultants and contractors, and ensure effective and efficient execution of project deliverables.
•Represent NWF in coalition working groups, collaborating directly with your counterparts at partner organizations.
•Provide coordination and support for cross-cutting work streams, including monitoring and evaluation of project deliverables.
•Track project workflows, maintain effective organizational processes and systems, and help ensure all project deliverables are met.
•Serve as the point person for the preparation, submission, review, and execution of sub-grant agreements and contracts, liaising with internal NWF departments and external groups.
•Provide budgetary support for projects, tracking contract disbursements, preparing progress reports, and helping ensure project spend-down rates stay on track.
•Review and process invoices from partners and contractors, prepare wire transfer forms, and archive all documentation.
•Organize, coordinate logistics, and carry out tasks to ensure effective meetings, calls, conferences, webinars, and other events (e.g. creating calendar appointments, save the date announcements, event flyers, managing participant lists, coordinating catering services).
•Take notes during calls and meetings, identify and prioritize action items, discuss follow-up points with team members, and disseminate notes and deliverable timelines.
•Help review and prepare documents and materials.
•Conduct general administrative tasks related to implementing NWF’s international program, supporting effective execution of grant deliverables, and supporting office functions, including maintaining files and online subscriptions, correspondence and contact databases, phone/communications, and making travel arrangements.

Qualifications:
•Fluency in English and professional proficiency in Spanish.
•At least three years of professional experience.
•Experience managing simultaneous work streams and tracking deliverables.
•Experience organizing and coordinating calls, meetings, workshops, conferences and/or events.
•Experience managing relationships with partner organizations and/or external clients.
•Experience reviewing and overseeing contract development and financial disbursements.
•Experience developing and maintaining effective organizational systems and work flow processes.
•Experience taking notes on calls, identifying action items and following-up with responsible parties.
•Ability to juggle multiple tasks and coordinate different work pieces simultaneously.
•Extremely well organized with acute attention to detail.
•Strong interpersonal and networking skills.
•High level of computer proficiency with Windows OS and Microsoft Office.
•Self-starter, with a high degree of initiative.
•Outstanding written and oral communication skills.
•Ability to work with people of different cultural and professional backgrounds.

Additional preferred qualifications:
•Additional language skills in Brazilian Portuguese.
•Experience working in South America (or internationally).
•Experience translating correspondences and documents between English and/or Spanish and/or Portuguese.
•Experience using web conferencing tools, such as Zoom and Webex.
•Experience with donor/grant reporting.

Travel requirements: Occasional travel will be required, including internationally (sometimes to remote locations).

Salary: $56,000 – $63,000 (commensurate with experience and skill set)
