The Sr. Admin, Culture + Events Coordinator will support the entire Admin department

THE JOB

The Sr. Admin, Culture + Events Coordinator will support the entire Admin department while helping to bring to life all TED staff culture events, programs and initiatives. This includes being a thought partner to the Culture and Employee Experience Manager in dreaming up new and exciting ways to engage staff, improve the employee experience and continue TED’s inclusion work. The Sr. Admin, Culture + Events Coordinator will also support the rest of the Admin team with Accounting & Legal tasks. 

 

This role is Hybrid, expected to be in the NYC office once a week (more frequently as-needed when there are special events). Due to in-person meetings and occasional office requirements, proof of full vaccination will be required prior to acceptance of employment.

 

MUST-HAVES

  • 2+ years of experience coordinating and managing small events (under 100)
  • 1-2 years of administrative support experience
  • A demonstrated passion for work culture and improving the employee experience
  • A creative mindset, willing to think outside the box, and dream up new ways to engage, reward and recognize employees
  • The ability to foster connections, build trust and a culture of community, diversity and inclusion
  • Interest in promoting and developing programs to reduce bias and increase inclusion in the workplace
  • The ability to build and deliver engaging and impactful powerpoint presentations
  • Dynamic project management skills and the ability to meet deadlines and manage stakeholders
  • Eagerness to solve problems and find creative solutions 
  • Dynamic organization and prioritization skills with the ability to multitask and juggle various projects within the Admin department
  • Effective communicator with professional email etiquette, zoom & in-person meeting interactions 
  • A scheduling wiz with rigorous and meticulous execution in all aspects of work
  • Familiarity with G-suite and Apple applications, including Gmail, Google Calendar, and Keynote
  • Possesses sound judgment, discretion and confidentiality in handling sensitive information

 

NICE-TO-HAVES

  • Light experience (or an interest in) developing your video editing skills (basic iMovie experience is fine)
  • Light experience (or an interest in) developing your writing skills, specifically internal communications 

 

 

RESPONSIBILITIES

 

Human Resources (75%)

Culture/Events (95%)

  • Lead on-site management of all NYC in-office events
  • Lead the design + production of reward & recognition programs (Congrats videos, Anniversary videos, #praise slack channel etc.)
  • Oversee the Holiday Gifts program 2022 and beyond
  • Project lead various smaller staff events (New Hire Meet + Greets, Health Challenge, TED Friend, virtual events, TED Cup)
  • Design, cultivate and grow one new staff event or program idea that enhances the employee experience
  • Design, cultivate and grow the Culture Corner (Staff Newsletter) to include a staff spotlight
  • Be part of the support team for larger staff events (Staff Retreat, All-Hands, In-person events and volunteer days)
  • Be part of the various (DEI) Do Tank working groups to progress recommendations meant to reduce bias and increase inclusion in the workplace

General HR (5%)

  • Build powerpoint presentations for various HR rollouts
  • Process corporate expense reports for Head of HR

 

Accounting (15%)

  • Download, file, and email stakeholders monthly with corporate expense reports to be completed using Nexonia, TED’s expense management software
  • Process corporate expense reports for the Accounting team; this includes appropriately coding all Admin corporate travel
  • Provide administrative and scheduling support to the CFO

Legal (10%) 

The legal team likes to meet in-person once a week

  • Filing, organizing, and data management of confidential materials
  • Process invoice approvals from TED’s outside counsel law firms and technology vendors
  • Process corporate expense reports for TED’s General Counsel on a monthly basis
  • Manage special projects as assigned, including creating organizational systems, printing training materials and assisting with presentations where needed
  • Assistance with tracking legal tasks in Asana, Legal’s task management software
  • Light scheduling for TED’s legal team
