Full-Time Sales Assistant

Job Description

Job Summary:  

The Sales Assistant, reporting to the Sales Data Supervisor, will work closely with our sales projection system, create and maintain online catalogues, and provide support for the Sales team.

Duties and Responsibilities:

Sales Projection System (10 %)

  • SPS projections: add new titles, update account projections and overall title projections; follow up with sales reps as needed
  • Perform weekly SPS inventory audits
  • Review large order reports and wholesaler projections/revisions

 Edelweiss (20%)

  • Build seasonal Edelweiss catalogues and launch catalogues
  • Audit images and bibliographic data as needed
  • E-galley upload and management
  • Generate change memo updates for all title divisions
  • Create printed catalogues for sales reps

 Affidavits (5%)

  • Create CA affidavits based on US affidavit list
  • Collect affidavits from all participating retailers, and send early ship affidavits

 Print & Goals (5%)

  • Create HCC Launch Grid and Print and Goals grids
  • Host goals meeting with sales team and update grids as needed

 Print Pricing (5%)

  • Audit ITPE pricing for new print titles

 Order Forms (5%)

  • Create and maintain seasonal sales rep order forms
  • Create Custom and Seasonal order forms upon request

 Booknet (5%)

  • Provide marketing meeting notes
  • Generate Booknet-specific weekly sales reports

 Catalyst (20%)

  • Provide marketing meeting notes
  • Build seasonal and Launch catalogues
  • Generate Catlayst-specific weekly sales reports

Vendor Data (20%)

  • Maintain POS Daily grid
  • Build titles in back end of vendor systems as needed
  • Process NCR requests
  • Perform data and price audits and troubleshooting

 Supervise Sales Intern Tasks (5%)

Qualifications:

  • 1 – 3 years of experience in publishing
  • Post-secondary education in a related field
  • Publishing Program Certificate would be an asset
  • Knowledge of Canadian publishing industry
  • Attention to detail
  • Proficient with Microsoft Office applications
  • Creativity, enthusiasm, and a love of books
  • Able to multi-task, determine priorities, and remain cool under pressure
  • Must have excellent phone and computer skills
  • Strong written and oral communication skills
  • Must be results driven, and take appropriate steps to achieve goals while taking ownership of situations as needed
  • Proven ability to deliver timely, accurate work product and demonstrate good follow up and follow through
