Full-Time Sales Administrator (Hybrid)

Job Description

* By applying to this position, you will have the opportunity to share your preferred office working location from the following: Atlanta, GA, Orlando, FL, or Las Vegas, NV. Three weeks of on-site training will be required prior to the start of a hybrid schedule.

Shepard Exposition Services, Inc. is seeking a Sales Administrator to provide administrative support to the sales team to assist in the achievement of departmental and company goals. The Sales Administrator will primarily work with internal sales members to develop Requests for Proposal (RFPs), new business presentations, and assist with Salesforce administration.

Essential Job Duties

  • General overall proposal response management
  • Ensure compliance with the RFP requirements, prepare written responses, develop, and maintain the required outline of the RFP, and ensure timely submission
  • Ability to create and/or work with a design resource to create product collateral, standard RFP templates and PowerPoint deck
  • Create and maintain accurate and persuasive content to be used in RFP documents
  • Hold work sessions with proposal contributors to discuss writing templates and the content desired
  • Ensure key company facts and graphics are updated on an ongoing basis
  • Manage information flow in a timely and accurate manner
  • Make travel and accommodation arrangements
  • Prepare and distribute weekly, monthly, or quarterly reports
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Organize and maintain the office and digital filing system
  • Proposal preparation and coordination
  • Salesforce administration – data, reporting, etc.
  • OLP (internal operational software) – data, reporting, etc.
  • Work directly with customers, or internal associates, to process event orders
  • All other duties as assigned

Job Requirements

  • Excellent MS Office knowledge
  • Proficiency with Adobe Creative Suite programs
  • Salesforce knowledge/proficiency is preferred
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills
  • Strong project management and task organization skills
  • Self-starter with a positive attitude; conscientious and provides complete follow-through on areas of responsibility
  • Excellent oral and written communication skills
  • High School degree (or equivalent) required
