Job Description

Receptionist/Administrative Assistant

Reporting to: Property Manager

Status: Full Time

Purpose and Scope:

Responsible for providing administrative support and assistance to the Property Management team, including tenant documentation, office management, marketing, accounts receivable, and accounts payable.

Core Competencies:

· Excellent customer service skills, with the ability to communicate with tenants, contractors, and visitors.

· Excellent time management/organizational skills to simultaneously handle and prioritize multiple projects.

· Proven planning/organizational skills; able to cope with changing priorities and deliver successful results within agreed timeframes.

· Excellent communication skills, (verbal and written); able to communicate effectively across all organizational levels.

· Self -motivated, self-starter, professional and flexible; able to work independently and as part of a team.

· Demonstrated ability to resolve problems using facts and sound reasoning.

· Strong understanding of accounts receivable and collections.

· Strong computer skill, including use of MS Office (previous experience with Yardi software an asset).

· Knowledge of IT technology and iPhones

Duties and Activities:

· Answer/direct calls, emails, and mail. Communicate with tenants, contractors, and site staff. Greet visitors, tenants, and contractors.

· Compose and type correspondence and documents related to daily activities.

· Generate and Email reports to management staff.

· Input, process, and track leasing documentation.

· Process payments, invoices, and chargebacks.

· Data Entry and tracking.

· File correspondence in hard copy as well as online in Share Drive.

· Order and maintain all office supplies/equipment.

· Update and manage advertising for suites.

· Other duties as assigned.

Job Type: Full-time

Salary: $35,000.00-$38,000.00 per year

  • 8 hour shift

COVID-19 considerations:
Our office is currently closed to the public. There will not be any visitors during the pandemic. The office is cleaned daily.

Experience:

  • customer service: 1 year (Preferred)
  • Receptionist: 3 years (Preferred)
