Construction Project Assistant
We are seeking a Project assistant to manage administrative needs for the Project Assistant reports directly to project manager(s) for the specific project site and any assistance the General Manager may need for the specific project site.
English/Spanish Bilingual helpful but not necessary
Attend project team meetings and take notes on available project outlines/resource materials/HR requirements
Book meeting/conference halls.
Billing, insurance/worker’s comp. certs as well as required employee documentation
Coordinate Daily Site Reports for PM understanding status of work on site.

Collect and manage required paperwork for site subcontractors
Coordination for site inspections, taking meetings for minor issues as directed by Project Manager.
Forward call to proper recipient etc.
Keep records of project/marketing/event reports, necessary project files and documents, Maintain email correspondences with relevant contacts
Manage site calls
Prepare project proposals/guidelines, contract agreements, project report presentation etc.
Point person for all site visitors; material suppliers, subcontractors and employees.
Respond to queries
Schedule/organize necessary meeting,
Set up agendas
Up-to date on the project development and perform necessary communication to follow up on deadlines and changes
Write and respond to emails
KEY JOB QUALIFICATIONS:
1-2 years in construction industry, understanding process flow and terminology
Ability to assess priorities and operate in a flexible manner to meet the dynamic needs of the team
Strong analytic and communication (oral and written) skills necessary to interact with all levels of management.
Attention to the details, comfort with financial data.
Proficient in MS Project, Excel, Word, Outlook and Power Point, QuickBooks and Viewpoint pro-c
