Full-Time Project Manager, Ambulatory

Job Description

Ambulatory Services provides consulting and practice support to the Ambulatory practices of Brigham and Women’s Hospital and Brigham and Women’s Physician Organization. Ambulatory Services is charged with supporting ambulatory practices in improving operational, business and administrative outcomes, including but not limited to: service excellence, new patient access, productivity/financial metrics, regulatory compliance and Ambulatory quality and safety. Reporting to the Senior Director of Ambulatory Services, the Project Manager’s responsibilities include, but are not limited to:

  • providing comprehensive project management of strategic initiatives that advance Ambulatory’s mission;
  • executing analyses, creating dashboards, and organizing data to guide decision making and support initiative implementation;
  • establishing, maintaining and continually improving coordinated, effective communications for the Ambulatory enterprise;
  • maintaining and executing improvements to Ambulatory Services’ infrastructure.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Provides support for core Ambulatory functions across assigned Departments/Divisions: Access, Growth, Patient Experience, Revenue Cycle, Quality and Safety and compliance.
  • Directs and manages projects on behalf of the Director and other management staff.
  • Acts to represent the Senior Director on internal and external committee or task forces as needed.
  • Comprehensive project management of strategic initiatives: Develops project work plans including identification of key stakeholders, deliverables, timelines and required resources for initiatives related (but not limited) to: service excellence, patient safety, clinical compliance, and operations improvement. Oversees operational and logistical aspects of projects, such as meeting schedules, agenda development, etc.; ensures project requirements are achieved in a timely fashion and within guidelines. Continuously assesses and makes effective recommendations to address barriers or obstacles to achieving project goals. Develops measurement and analytic strategies to monitor the outcomes of projects over time. Crafts messages, creates communications and delivers presentations related to project plans/status. Leads and manages workgroups/committees charged with setting project direction.
  • Execute analyses, create dashboards, and organize data to guide decision-making and support initiative implementation: Structures and executes quantitative and qualitative analyses to guide decision making and determine project direction. Creates, maintains and improves dashboards and other data communication vehicles to advance Ambulatory’s public reporting infrastructure. Develops and administers surveys and organizes data to track compliance with initiatives. Develops and coordinates project evaluation to assess impact. Collects, organizes, summarizes materials for presentations by the Senior Director and Management Team.
  • Establish, maintain and continually improve coordinated, effective communications for the Ambulatory enterprise: Develops and disseminates written communications for a variety of Ambulatory audiences through multiple channels, including newsletters, email updates, intranet site, etc. Creates and delivers concise, effective presentations and status updates to various Ambulatory audiences, such as practice leadership and administrators. Play a lead role in meeting organization, including establishing agendas, coordinating presenters and overseeing all logistical components of meeting planning.
  • Maintain and execute improvements to Ambulatory Services’ infrastructure: Develop, manage and regularly update on-line content for Ambulatory Services. Develop, manage and regularly update Client Relations Management system to track and improve information management for BWH/BWPO practices. Develop, maintain and oversee operational infrastructure of Ambulatory Services as required. Continuously identify and implement improvements to Ambulatory Services’ infrastructure. Other duties as assigned.

QUALIFICATIONS:

  • Master’s degree in public health, healthcare management or related field or related work experience strongly preferred. Bachelor’s degree in a related field required.
  • Minimum of 3 to 5 years’ experience in the healthcare field or project management.
  • Demonstrated experience in quality measurement and project management.
  • Demonstrated expertise in managing working relationships in a matrix structure.
  • Experience in promoting healthcare provider behavior change is desirable.

WORKING CONDITIONS: Office environment in healthcare setting.
