Full-Time Program Manager

We are looking for a Program Manager to support our enterprise client engagements.

Wheelhouse DMG is headquartered in Seattle, but the right candidate can live anywhere in the U.S.

Responsibilities

Ensure Wheelhouse enterprise program teams are unified by and remain aligned with the global digital strategies on which we agree with our clients.

  • Create and maintain roll-up report of program outcomes to be delivered to client stakeholders
  • Ensure every meeting has a clear agenda
  • Moderate large multi-practice meetings (both internal and external)
  • Attend all internal and client meetings and ensure critical information is documented and shared with relevant project team members. Ensure that each practice area is aware of all in-progress initiatives

 

Ensure all program team members have deep understanding of our clients’ goals and aspirations, organizational/ operational constrains and political dynamics.

Facilitate and support robust, cross-practice collaboration among Wheelhouse practice teams

Preserve focused work time for our subject matter experts by managing the engagement in a manner that reduces or eliminates administrative overhead for our SMEs

  • Maintain comprehensive client documentation including details of stakeholders, political environment and org structure
  • Record meeting notes and keep them organized in our client database
  • Coordinate logistics with client stakeholders, including meeting scheduling and agenda setting, data and platform access, budget approvals, resolving client blockers, etc.

 

Ensure our teams continue to consistently deliver exceptional business value to our clients in a manner that preserves quality of life for our SMEs and does not require last-minute “heroics”.

  • Run monthly project team retrospectives and solicit continuous feedback from project team members
  • Plan internal milestones and meetings to ensure high-quality and professional delivery of work (set team members up for success)
  • Identify and flag risks and opportunities for improvement, and enable project team to solution (and when necessary, escalate to practice leads)

 

Ensure our team members feel supported by their program manager

  • Surface project team wins and case studies, within the project and within Wheelhouse broadly
  • Look for opportunities to make your team members feel known and cared for
  • Support team members in balancing requests and deliverables, know when to push back, and when to ask for help

Help to ensure that, to the greatest extent possible, our enterprise engagements are an exceptionally good experience for both our clients and our program team members

Experience

  • At least 3-5 years of experience project managing, or program managing, large and complex projects (no degree required)
  • A history of success in navigating complex client organizations and needs
  • A history of coordinating multiple teams within the same organization
  • A history of delivering projects on-time and on-budget, without heroics or drama
  • Superior verbal and written skills, high emotional intelligence, and the ability to read a room
  • Exceptional organization skills and attention to detail
  • Foundational understanding of digital marketing and a strong sense of curiosity
  • Self-starter, self-motivator, and ability to work with minimal supervision
  • Comfort adapting into existing workflows and processes

You have exceptional attention to detail that allows you to act as the eyes and ears for our clients and our team members, and you’re an advocate for the best interests of both. You have high emotional intelligence and empathy and are skilled at delivering unvarnished feedback in a kind manner. You’re cool as a cucumber when under pressure and know how to diffuse tension to get us back on track.

You’re inherently curious. While you’re not necessarily a marketer yourself, you have a basic understanding and a desire to learn how we help our clients. You are constantly looking for ways to improve how we deliver our work but know how to solicit feedback from your project team and gain consensus for change, rather than dictating it (you don’t operate in a silo).
