Full-Time Program Coordinator

Job Description

Interactive Advertising Bureau (IAB) is seeking a Coordinator, Centers of Excellence. The Coordinator is the central point of contact within the Centers of Excellence (Programmatic+Data, Media, Experience, and Research) and all of its initiatives. This role will have a strong focus on our CRM database, while helping to coordinate between the Centers of Excellence and the rest of the IAB. They will sit in on Committee and Council meetings thereby having a unique opportunity to learn about the digital advertising ecosystem. This pivotal role will help to ensure the team’s success through project management, program organization, and data entry. It will require someone who is excited about the digital space and is seeking a career path towards thought leadership. Must be a strong writer, have the ability to think strategically, and is curious about social, video, mobile, data, research, and digital media.

Responsibilities include, but are not limited to:

  • Database organization:
    • Perform regular data entry and maintenance for Committees and Council Member updates in Salesforce
    • Act as day-to-day contact for the Centers of Excellences for all Salesforce management and updates including but not limited to; reporting, groups participation, event attendance, and etc.
    • Act as point of contact to marketing for website updates for PDC and Research update
  • Communicate with high-level members directly as well as through mass communications using mail merges and database email lists
  • Create, manage, maintain and organize system for tracking, monitoring, and prioritizing tasks and projects through; (1) project pipeline management and (2) KPI tracking of member engagement. This activity requires extensive collaboration with multiple internal parties and handling of sensitive and confidential information
  • Create and maintain a pivotable excel spreadsheet (macro knowledge needed – see below requirements) of vendors and offerings in research and measurement
  • Work with the Center leads to develop themes, write abstracts, and create questions for panel discussions
  • Day to-day coordination, planning and support of a calendar of events and meetings including webinars and research council meetings, synchronizing timing, logistics and CRM support for these events with other administrative and facilities teams, including:
    • Pre-event organization (examples: marketing, catering, etc)
    • Onsite execution (registration, remote attendee software, staff management, etc)
    • Point-of-Contact for all logistics related inquiries from vendors and members
    • Tracking and aligning Master Service Agreements, Statement Of Works, Invoices and Budget Balance with Legal and Finance
  • Other duties as assigned

Requirements and qualifications:

  • Bachelor’s Degree with 1-2 years’ relevant work experience
  • Ability to deal with both the big picture and details while successfully multi-tasking.
  • Strong written and verbal communication skills.
  • Ability to think strategically and problem solver
  • Excellent at multitasking
  • Extremely well organized
  • Event Management skills
  • Proficient in Excel, PowerPoint and Microsoft Office Suite
  • Outstanding written and verbal communication skills
  • Exposure to digital media and advertising and/or mobile internet/technology industries is a plus
  • Strong curiosity and Interest in digital marketing and media
