Program Associate, Immigration Legal Services

FULL TIME – EXEMPT: 40 Hours per week

SUMMARY

We are seeking a Program Associate to join our Immigration Legal Services team. The ideal candidate for this position should have curiosity or familiarity with the immigration legal system; experience interacting with a diverse client population; and the desire to meet clients where they are by empowering them and coming up with creative solutions. They should be detail-oriented, comfortable juggling competing priorities, and willing to spend a significant amount of their work day assisting clients in the completion of immigration forms. Finally, a successful program associate has the technology competence to provide legal services in a remote setting.

  • Preferred fluency in at least one of the following: Portuguese, French, Haitian Creole, Arabic, Mandarin

 

RESPONSIBILITIES

  • Demonstrate a commitment to social justice and equity; actively participate in Rian’s efforts toward being an anti-racist organization; and value, promote, and integrate anti-racist ideas and policies into your work

Client Coordination

  • Oversee Rian’s weekly walk-in clinics and phone consultation scheduling system, including conducting intakes of clients.
  • Assist clients in preparing immigration forms through ILS’ pro se forms assistance program.
  • Interpret for attorney consultations, client appointments, and at USCIS interviews, as needed.
  • Assist attorneys with administrative tasks required for case completion, including assembling, copying, and mailing cases.
  • Consult with the Supervising Attorney and other colleagues on legal and case issues.
  • Maintain accurate, up-to-date files, statistics, and records on clients and cases.
  • Maintain professional and ethical standards in all legal activities, including interactions with clients, record keeping, and legal filings.
  • Follow department protocols.

 

Administration and Record Keeping

  • Manage all aspects of weekly walk-in clinics and phone consultation scheduling system, including scheduling and staffing.
  • Input data from client intakes and U.S. Government correspondence into on-line client database and support the Supervising Attorney in case review process.
  • Monitor intake data and perform regular quality control.
  • Open and close cases following office protocol.
  • Provide data and reports to the Supervising Attorney for use in fundraising and advocacy activities.
  • Keep all pro se forms and citizenship materials up to date (intake, control sheets, mailing instructions, etc.)
  • Maintain a high level of organization in handling client files and documents.

 

Volunteer Coordination

  • Recruit, train and engage with volunteers and interns to staff the walk-in clinics, pro se assistance program, and to provide general administrative assistance.
  • Coordinate with pro bono attorneys regarding their schedules and consultation follow-up.
  • Provide technical assistant to staff and volunteers on Rian’s client management databases, forms software, and communications technologies.
  • Provide direct supervision to administrative interns.

 

Other duties

  • Demonstrate a commitment to social justice and equity; actively participate in Rian’s efforts toward being an anti-racist organization; and value, promote, and integrate anti-racist ideas and policies into your work.
  • Maintain up-to-date knowledge of immigration law and policy and attend immigration law trainings to increase knowledge.
  • Participate in Rian’s advocacy efforts.
  • Participate in agency-wide meetings, operational tasks, planning activities, trainings, events.
  • Perform other tasks as required by the Supervising Attorney.
