SUMMARY OF RESPONSIBILITIES

The Program Assistant II – Financial Aid is a classified position that supports the financial aid office. Perform a variety of customer service and technical or clerical duties of a regular and recurring nature within the financial aid office under general supervision of the director of financial aid. Interpret financial aid regulations and triage student questions consistent with specific student aid program guidelines. Interpret and communicate student aid eligibility requirements, application processes, and award decisions. The financial aid specialist works under general supervision as part of a team serving a diverse community.

Compensation & Work Schedule:This is a union covered position. As defined by the current classified bargained agreement, newly hired employees shall be placed between Step C $3,480 and Step F $3,559 of the salary schedule in Appendix A of the Classified Union Bargaining Agreement. Employees hired with an associate degree will be placed at minimum of step D. Employees hired with a bachelor’s or master’s degree will be placed at minimum of step E. Ongoing (Step G- Step M) step advancement is defined by the classified bargained agreement.

Salary placement for current classified employees is per the classified bargained agreement.

ESSENTIAL FUNCTIONS

• Triage financial aid questions at the office counter, over video conferencing, by phone, or by mail

• Interview and counsel students on financial, personal, academic and professional-technical problems; make referrals to institution and community resources; serve as an information resource for federal, state, and local financial aid programs and scholarship programs

• Respond to email, phone, and in-person inquiries from admitted and prospective students, employees, and outside organizations within scope of knowledge, college policies and procedures and Family Education Rights and Privacy Act provisions, or refer to ap­propriate persons

• Enter, maintain and verify various student biographic data

• Perform a variety of activities associated with office operations that require initia­tive and independent judgment such as verifying enrollment/program of study, identifying financial aid application status, identifying missing financial aid documents, and matters of similar complexity

• Receive and initially process financial aid applications and other related forms

• Assist in developing and delivering FAFSA information sessions

• Perform miscellaneous duties such as filing, responding to general inquiries, sorting mail, inventorying and replenishing supplies, preparing purchase requisitions for approval

• Compile data from a variety of sources and prepare summary reports as directed

• Verify and enter correct data for state and federal reporting

• Develop office procedures, routines and filing systems as necessary to accomplish primary duties

• Provide evening hours coverage as necessary

• Regular and satisfactory attendance and punctuality

• Other related job duties as assigned

QUALIFICATIONS

• High school diploma or equivalent required; some college coursework preferred

• Preferred: One or more years work experience in Financial Aid, student services, or customer service

• Ability to work with numbers accurately

• Ability to learn, interpret, and apply college rules, regulations, policies and procedures

• Ability to use tact, discretion and cour­tesy in contacts with students, employees, and outside organizations and persons who have contact with the college

• Detail oriented; ability to move from one task to another effectively; work well in a fast-paced environment; demonstrated ability to manage and prioritize time and duties efficiently

• Excellent customer service skills and verbal and written communication skills

• Ability to provide quality services to students and apply communication techniques to work effectively with students, employees, vendors, other state agencies, contractors and other persons who have contact with the college

• Ability to work effectively within a team office environment and with a high level of equity and diversity awareness
