Full-Time Invoicing Coordinator

Job Description

We are currently seeking a Full-Time Invoicing Coordinator to join our Toronto office team – we have a hybrid in-office/work from home model in place.

The successful incumbent will be resilient, flexible, self-motivated and have a great work ethic; detail oriented, driven and have strong time management skills to provide exceptional administrative and sales support in a fast-paced environment. Day-to-day responsibilities will include liaising with suppliers and our Production team, staging orders for invoicing, following up to confirm all order costs, and working internally with our accounting team to invoice our clients in an expedient manner. They will report to the Production Team Lead.

 

RESPONSIBILITIES WILL INCLUDE, BUT NOT BE LIMITED TO:

  • Apply attention to detail and use reasoning skills to follow up as required (phone or email) with suppliers, Account Managers, logistics teams, and/or other parties to ensure orders have delivered and all costs are accounted for.
  • Work with the Production team to learn order process from client approval, PO creation and follow up through to delivery to offer vacation coverage when needed.
  • Data entry and review using our sales management software (commonsku) and internal finance system as well as ability to calculate basic math equations to create A/R invoices and resolving supplier invoice discrepancies.
  • Ability to interpret and transcribe information in an accurate and efficient manner including problem solving with suppliers and ability to demonstrate good judgment to resolve
  • Attend monthly departmental meetings including participation in internal/external audits as required.
  • Ability to build and maintain strong relationships.
  • Assist in the Health & Safety program by ensuring that section 28 of the Occupational Health & Safety Act (OHSA) are being followed; conduct employee training and accident investigations; coordinate Health & Safety training within the department.
  • May be required to perform additional and/or different responsibilities as set forth above.

HERE’S WHAT YOU BRING TO THE TABLE:

  • Must have completed minimum Grade 12 education; post-secondary education preferred
  • Minimum two years general operational /financial or administrative office work experience
  • Proficient and hands on working knowledge and understanding of Microsoft Office 2016+ software – specifically Excel, Word, and Outlook as well as using the Internet as a research tool
  • Proven ability to understand, speak and write English in order to communicate effectively using tact and diplomacy is required
  • Excellent interpersonal and customer service skill along with a demonstrated commitment to service excellence, quality and vendor relationship management
  • Think “outside the box”, be pro-active, problem solve and suggest corrective course of action
  • Ability to work independently with minimal supervision as well as work collaboratively in a team environment
  • Strong multi-tasking and attention to detail; able to manage multiple assignment simultaneously with conflicting deadlines
  • An appreciation for puns and / or Dad jokes
  • Strong organizational skills with ability to manage time and retain and apply information effectively
  • Ability to work collaboratively and communicate effectively with team members at all levels of the organization
  • Must have employment eligibility in Canada

 

COMPENSATION:

$45,000 to $47,000 annually
