Full-Time Payroll Coordinator

There is a chance for this postion to convert to full-time employment. As such, you must already have permanent work authorization and work directly on our W2 without current or future sponsorship or transfer of visas. This position is not eligible for C2C and no brokering.

This position is 100% remote

SUMMARY STATEMENT
This position is accountable for compiling, analyzing, and approving payroll files and transmitting these files for processing by the company’s external payroll vendor; researching and resolving payroll inquiries; reviewing processed payroll files for accuracy; compiling, analyzing and creating payroll reports and other duties as assigned. The Payroll Coordinator is cross trained and serves as a backup for the Timekeeping Coordinator position.

ESSENTIAL DUTIES & RESPONSIBILTITIES

Compile, analyze and approve payroll EPIP files for processing from Deltek to ADP (40%)

  • Review all EPIP’s created from Deltek
  • Collect and verify employee timekeeping, benefits, and personnel changes
  • Modify/review deductions for all Personal Sick Leave (PSL)/Personal Time Off (PTO) and terminated team members Remove zero timesheets to prevent negative earnings, deductions, taxes, and ER contributions Add/modify benefit adjustment files
  • Process, track and reconcile tuition, relocation reimbursements, severance, and bonus payouts Review, set up and reconcile all company garnishments
  • Research, register, set up and reconcile all local income tax (LIT), state income tax (SIT), state unemployment insurance (SUI), Federal Insurance Contributions Act (FICA), and federal taxes
  • Create and reconcile Management Incentive Plan (MIP), Employee Incentive Plan (EIP) and Long Term Incentive Plan (LTIP) files
  • Create and reconcile Non-Qualified Disbursement (NQD) and Supplemental Executive Retirement Plan Funding (SERP) payrolls
  • Reconcile then transmit payroll files for processing to external vendor
  • Performs a biweekly reconciliation of Payroll, garnishments, and all federal, local, and state taxes Perform Quarterly and annual tax reconciliations and W2’s

Research and resolve payroll inquiries (10%)
Research and resolve any payroll related inquiries related to earnings, taxes, deductions, and direct deposits; Ensure all Payroll SLAs and deliverables are met. If issues occur, coordinate response and corrective action on behalf of Payroll team.

Transmit, reconcile payroll files to ADP for gross to net calculations (10%)
Provide data and reports to various departments for review/reconciliation

Review processed payroll files received from ADP for accuracy (10%)

  • Verify terminated employee deduction overrides
  • Validate payroll tracking log entries
  • Verify benefit deductions for accuracy Ensure compliance with company policies, industry regulations, tax, garnishment, and deduction laws

Compile, analyze and create reports (10%)

  • Retrieve and download all standard payroll reports
  • Provide various reports to Finance, Benefits, and Legal departments for reconciliation
  • Reconcile and create payroll wire requests
  • Create/reconcile various deduction reports for external vendors
  • Prepare and provide payroll reporting for management, other departments, and compiles data for multiple types of audits

Assist with audits and conduct payroll training (10%)

  • Provide data for 401K, Price Waterhouse Coopers (PWC) and Workers’ Compensation and ad hoc audits
  • Provides verification of employment/ wages from mortgage companies, garnishment agencies and court orders
  • Validate wages for unemployment claims for Human Resources
  • Conducts Payroll portion of new hire orientation Procedure and QMS review/update

Provide administrative support in the payroll and accounting related areas (5%)
Assist timekeeping as needed

Reconcile payroll liability accounts to ensure accuracy of reporting and distribution of funds (5%)
Ensure accuracy of tax liability, garnishment, and net pay invoices

Performs other duties as the supervisor may, from time to time, deem necessary.

REQUIRED QUALIFICATIONS

  • High School Diploma or GED
  • 2 years’ related work experience; this includes payroll, accounting, or payroll processing experience
  • Knowledge of internal payroll financial control processes
  • Knowledge of federal and state regulations
  • Proficient in MS Word and Excel  Strong communication skills (written and verbal)

PREFERRED QUALIFICATIONS

  • Experience working with ADP Vantage or Oracle
  • Experience working with Deltek- Costpoint
  • Experience working with Multi state local and state taxes
  • Experience working with Tax Levy, Bankruptcy, Writ and Child Support garnishments

Key Skills:
ADP Vantage and excel experience is critical
