Full-Time Operations Coordinator, Social Innovation & Change Initiative

Job Description

The Social Innovation and Change Initiative (SICI) at the Harvard Kennedy School (HKS) has an immediate opening for an Operations Coordinator to join a high performing team of faculty, staff, students, and practitioners as they create and execute on projects designed to advance the field of social innovation. A newly launched enterprise within HKS, SICI (pronounced “sigh-see”) was created to transform how we support social innovators – both on and off campus – as they navigate the challenges of initiating and implementing breakthrough social change around the world.

Duties & Responsibilities
The Operations Coordinator works independently performing a wide range of complex and confidential administrative duties to support SICI operations and programming. Working as an integral part of an energetic and growing team, the Operations Coordinator will report to SICI’s Program Manager and be responsible for a variety of complex administrative, communication, and program related activities. They will work as a meaningful thought partner to colleagues, and as the first point of contact to external stakeholders, throughout the development, execution, and evaluation of strategic programming for this startup effort. The Operations Coordinator is expected to anticipate and resolve problems as well as pro-actively recommend process improvements.

Operations Support – 40%
• Provide high-level logistical and administrative support to SICI’s Leadership Team, scheduling, meeting coordination, the creation of itineraries, and travel arrangements.
• Develop, maintain, and improve organizational processes and systems for SICI to enable efficient execution of routine work tasks and systematic tracking and analysis of trends.
• Maintain organization files and databases.
• Track correspondence and status of requests and responses.
• Financial processing, tracking, and maintenance of financial records, including payments/reimbursements
• Draft a variety of budgets, with oversight from Program Manager.
• Serve as principal source of information on established financial policies and procedures.
• Ensure general upkeep and reinforcement of the physical space in SICI offices and the Social Innovation Studio.
• Prepare for and contribute to weekly team briefings on SICI’s progress, proactively identifying potential obstacles and opportunities.

Communications and Stakeholder Management – 40%
• Coordinate visits with representatives from outside universities, foundations, and other partners.
• Assess organizational needs related to communications and stakeholder management;
• Draft, edit, process, and standardize a variety of written material, PowerPoint presentations, internal memos, donor reports, bibliographies, and research or meeting summaries.
• Manage vendor and contractor relationships, including agreements.
• Produce marketing materials including fliers and social media posts for events, invitations, posters, and other materials.
• Track, organize, and analyze trends related to stakeholder contacts.
• Monitor and respond to SICI email account.
• Serve as the front line for incoming communications and visitors to SICI’s office and the Social Innovation Studio.

Program Support – 20%
Organize and support execution of SICI’s teaching, research, and convening activities including: the New World Social Enterprise Fellows Program, the Social Innovation Studio, Executive Education programming for Schwab Foundation Social Entrepreneurs, and our university-wide Research Seminar Series.

These responsibilities include, but may not be limited to:
• Work closely with SICI program team to deliver events and meetings.
• Attend SICI events as an ambassador of SICI (including occasional evenings and weekends
• Identify, review, summarize and analyze relevant written and web-based materials in the field of social innovation.
• Work closely with the Program Manager to respond to changing needs and interests of SICI faculty members, the HKS Dean’s Office, and other key stakeholders, and assist with developing programming accordingly.
• Perform special projects and other duties, as needed.

The successful candidate will be a motivated and resourceful self-starter with the ability to meet deadlines, creatively and independently problem-solve, track multiple projects and deliverables, and communicate clearly with a broad range of stakeholders including senior leadership, staff, potential donors, faculty, and students.

This role is ideal for someone who thrives in a creative, fast moving, entrepreneurial environment, yet has the patience, situational awareness, and emotional intelligence necessary to effectively navigate the wider university ecosystem as needed.

This is a fully benefits-eligible term position ending one year from date of hire with strong possibility of extension.

Required Qualifications: minimum of 2 years of administrative and/or operations/finance work experience.

Preferred Qualifications: Successful candidates will possess strong interpersonal, organizational and communication skills, the ability to prioritize and handle a wide range of tasks and projects simultaneously, good judgment, strong initiative and problem-solving skills, and strong attention to detail.

Knowledge of and interest in the field of social innovation and change is strongly preferred, as is:
• Bachelor’s degree strongly preferred
• Demonstrated proficiency with Microsoft Office and social media channels including Facebook and Twitter.
• Familiarity with and/or willingness to learn Oracle Business Intelligence, Mailchimp, WordPress, Qualtrics, Google Docs and Forms, and website administration.
• Strong project coordination and communication skills.
• Ability to work independently and take initiative but also to seek and take direction appropriately.
• Learning mindset and entrepreneurial spirit.
• Interest in social innovation and social impact.
• Proven ability to establish and manage good working relationships with colleagues and collaborate effectively with a dynamic team, as well as with stakeholders at every level (including students, policy makers, faculty, and more)
• Must be self-motivated, creative and comfortable building collaborative relationships throughout the organization;
• Excellent writing skills, along with strong communication and troubleshooting skills;
• Curiosity and desire to learn and develop new areas of expertise;
• Familiarity with Harvard systems, applications and policies preferred
• Demonstrated ability to meet deadlines and independently problem-solve; independent, creative thinker with a point of view and the ability to lead through influence.
